HVAC Service Dispatcher

Job Description

Peninsula Heat is looking for a HVAC Service Dispatcher to join our work family in sunny Sequim, WA. The Service Dispatcher position is a pivotal, multi-faceted role responsible for ensuring the efficient flow of administrative and Service Department operations within our company. This position requires a highly organized and proactive individual who can manage diverse responsibilities.
Required Qualifications :
Proven experience in an administrative, or operational support role, preferably within the HVAC or construction industry. Strong understanding of, or ability to quickly learn, residential heat load calculation software/methods and local permitting processes. Proficiency in using field service management software and standard Microsoft Office applications (Word, Excel, Outlook). Excellent organizational and time-management skills, with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment. Strong communication skills (written and verbal) and a professional, courteous demeanor with customers and colleagues. Ability to handle confidential information with discretion and maintain a high level of integrity. Knowledge of basic marketing principles and social media platforms for business use.
Responsibilities:
Scheduling of Service Department Technicians, ensuring efficient routing and timely customer service. Input and maintain accurate system details and job records within Service Fusion. Overseeing warranty specifications, coordinating with the service team, Business Manager, and manufacturers to ensure proper claims and documentation. Managing customer service agreements, updating agreements, and following up on service agreement renewals Mailing of service postcard reminders to service customers Processing of customer payments through Service Fusion Greeting customers as they enter our office, and selling of filters or parts when necessary Opening and closing the office, as necessary
Desired Qualifications:
High school diploma or equivalent required; an Associate's or Bachelor's degree in Business Administration or a related field is preferred. Two years of experience in a similar administrative or coordination role.
