We currently operate 7 healthcare sites in Costa Mesa, Santa Ana, Mission Viejo, and Newport Beach. We have an immediate opening for a Experienced Facilities Operations Manager to join our growing organization. The current salary range is $75,000 - $90,000 and the salary offered will depend on experience, education and skills . Job Summary The Facilities Operations Manager is responsible for ensuring safe, functional, secure, and efficient operations across all organizational facilities. Oversees facility operations, maintenance, safety, security, vendor management, regulatory compliance, and space planning activities in support of all service lines within Share Ourselves. Prepares and deploys preventative maintenance programs, safety and emergency preparedness initiatives, facility improvement projects, and daily operational support functions while ensuring compliance with federal, state, and local regulations. This position plays a critical role in maintaining environments that support patient care, staff productivity, and regulatory readiness across multi-site healthcare operations. . Essential Duties Facilities Operations & Maintenance Plans, oversees, and monitors day-to-day facility operations across clinics, pharmacy locations, administrative offices, warehouses, and support spaces. Manages direct report facilities team members. Responsible for warehouse and transportation operations in support of organizational goals Conducts routine facility inspections to identify safety risks, maintenance needs, and regulatory deficiencies. Develops and manages preventative maintenance programs for HVAC, plumbing, electrical, lighting, fire/life safety systems, security systems, and critical infrastructure. Performs or coordinates minor repairs and maintenance activities within scope, including patching, painting touch-ups, replacing fixtures, basic carpentry, and equipment assembly/disassembly. Works with property managers on any necessary work orders for facilities maintenance (electrical, lighting, plumbing, etc). Coordinates and oversees repairs, installations, upgrades, relocations, and facility improvement projects. Oversees functionality and compliance of medical support equipment related to facilities (e.g., vaccine refrigerators, cold-chain monitoring devices, fleet equipment). Supervise contracted vendors including janitorial, housekeeping, and maintenance personnel to ensure performance and policy adherence. Maintains facility work orders, maintenance logs, and service documentation. Oversees storage areas, inventory systems, and facility-related supplies. Responsible fleet management including maintenance, inspection and vehicle usage. Ensures all team members driving vehicles are licensed and insured in conjunction with HR and Risk Management. Serve as the primary point of contact for facility needs across operational sites including building emergencies. Safety, Risk Management & Compliance Ensure all policies and procedures related to facilities are compliant, updated, and communicated effectively. Collaborates with Risk Mgmt Director to ensure facilities are in compliance with OSHA and other applicable regulations. Works with Risk Mgmt Director to ensure facility related Injury & Illness Prevention Plan (IIPP) and Safety Data Sheets (SDS) are up to date and any necessary OSHA logs or documents are at each facility. Participates in facility or biohazard incident investigations. Identifies facility hazards, determines corrective measures, and ensures timely resolution. Partners with Risk Management and IT on installations for site security systems, access control systems, alarms, cameras, and related vendor services. Ensures compliance with healthcare-specific regulatory requirements, including fire marshal standards, ADA accessibility, environmental safety, and applicable state healthcare facility regulations. Supports organizational response to facility emergencies (power outages, system failures, environmental hazards). Maintains and develops, when needed, contingency plans for operational disruptions, including utilities failures, equipment breakdowns, and site-specific emergencies. Vendor & Contractor Management Sources, evaluates, negotiates, and manages vendor relationships and service agreements. Obtains bids, monitors contractor performance, and ensures service quality and cost efficiency. Coordinates preventative maintenance vendors and specialized contractors. Inventory, Logistics & Operational Support Oversees inventory and purchasing of facility-related supplies and equipment. Manage inventory of office materials, furnishings, and maintenance equipment. Track inventory levels and coordinate timely purchasing. Manages warehouse and storage operations as applicable. Maintain organized storage areas across properties Oversees interoffice mail processes, equipment distribution, donation coordination, and internal logistics functions. Financial & Administrative Management Develops and manages facilities budgets, including operational and capital expenditures. Identifies cost-saving opportunities and process improvements. Provides reports and updates to leadership on facility conditions, risks, and projects. Supports capital planning, facility lifecycle management, and long-term infrastructure strategies. Provide timely updates to leadership regarding facility issues, project status, and other related matters. Collaborate with cross-functional departments to ensure operational continuity.

SUPERVISORY DUTIES

Directly supervises all facilities team members. Provide ongoing training, coaching, and performance feedback to direct reports to support professional development and departmental effectiveness. Supervises daily operations, timecards, scheduling, performance reviews, and corrective actions. Completes supervisory duties timely and effectively, including interviewing, job training, counseling and corrective action processes. Reduces employer risk through compliance with HR practices and policies, especially harassment and non-discrimination . Education and/or Experience Associate's or Bachelor's degree preferred. Minimum of 3-5 years of experience in facilities management, operations, or building systems management; multi-site experience preferred Experience in healthcare, multi-site, or regulated environments strongly preferred. Working knowledge of building systems (HVAC, plumbing, electrical, general construction), preventative maintenance practices, and healthcare regulatory compliance. Experience managing vendors, contractors, and facility projects. Project management skills with the ability to oversee renovations or construction projects Leadership experience managing facilities /driver team member Strong organizational, problem-solving, and decision-making skills. Excellent communication skills written and verbal in English for effective collaboration with team members, contractors, and stakeholders. Ability to work flexible hours and respond to on-call emergencies when required. Ability to travel between organizational sites; a valid CA driver's license and acceptable driving record are required. Must have reliable transportation OSHA certification or facilities management certification preferred Trade certifications (HVAC, electrical, plumbing) are a plus.

PHYSICAL DEMANDS

Work frequently requires standing, walking, bending, lifting, climbing, and manual tasks. Must be capable of lifting and moving materials up to 50 pounds .
