Facilities CoordinatorLocation:
San Francisco, California (Onsite) Role OverviewWe are seeking a seasoned and passionate Facilities Coordinator to join a team. This role is for individuals who excel at creating functional and supportive work environments. The position is central to maintaining an office where staff can focus, collaborate, and perform their best work, emphasizing a strong in-person presence. Key ResponsibilitiesCoordinate and manage vendors for daily operations and maintenance, including deliveries, office supplies, and janitorial services.
Partner with the facilities team to ensure buildings are safe, functional, and comfortable for employees.
Respond to internal service tickets, providing clear and timely solutions.
Address and resolve facility issues promptly, such as equipment malfunctions or maintenance needs, by engaging appropriate vendors.
Conduct minor repairs and maintenance, and coordinate vendors for more complex tasks.
Provide emergency response support in partnership with security and ensure compliance with local codes.
Manage the HVAC program, including projects, preventive maintenance, and vendor relationships.
Oversee office moves, restacks, and reconfigurations from planning to execution.
Set up furniture for meetings and events and perform workstation installations.
Assist in maintaining Standard Operating Procedures and developing office culture.
Required QualificationsExperience:
4+ years of experience in facilities coordination and building operations.
Demonstrated experience coordinating office moves or reconfigurations.
Working knowledge of facilities-related systems such as HVAC, elevators, plumbing, and lighting.
Experience with HVAC systems and move coordination is a priority.
Skills:
A service-minded, solution-based approach to work.
Strong organizational and communication skills with the ability to multitask.
Ability to manage multiple competing priorities effectively.
Physical ability to lift up to 50 pounds.
Adaptability to a fast-paced environment and willingness to handle diverse tasks. Preferred QualificationsExperience managing HVAC projects or a preventive maintenance program.
History of executing moves or restacks in a multi-building or high-growth environment.
Prior experience with vendor management, food and beverage service, and hospitality.
Familiarity with managing permit, license, and inspection requirements.
Background in a technology or startup environment.
