The ideal candidate will ensure that all facilities are clean, safe, functional, and well-maintained. This individual will also plan and execute events, coordinate vendors and service providers, manage event logistics, and work closely with staff and leadership to ensure the smooth operation of both organizations. This role requires strong organizational skills, attention to detail, problem-solving abilities, and the flexibility to manage multiple responsibilities in a dynamic environment.
Key Responsibilities Facility Management :
Oversee the daily upkeep, cleanliness, maintenance, and organization of the facilities at Gan Yeladim and Stamford Chabad.
Maintenance and Repairs:
Conduct routine inspections, identify maintenance needs, coordinate repairs, and supervise contractors and service providers.
Health and Safety:
Ensure facilities are safe and secure, maintain safety equipment, address potential hazards, and support compliance with applicable safety regulations.
Event Planning and Coordination:
Plan and coordinate school events, holiday celebrations, community gatherings, and other organizational functions, including setup, logistics, and breakdown.
Vendor Management:
Coordinate with contractors, caterers, cleaning services, and other vendors; obtain quotes and monitor the quality and completion of services.
Supplies and Inventory:
Manage facility and event supplies, monitor inventory, coordinate purchases, and ensure equipment is properly maintained and stored.
Space and Equipment Setup:
Arrange rooms, furniture, equipment, and event spaces to meet the needs of daily operations and special events.
Administrative Coordination:
Maintain maintenance schedules, event calendars, inventory records, and expense documentation while communicating regularly with leadership and staff.
Budget and Resource Management:
Monitor maintenance and event-related expenses, obtain approval for significant expenditures, and use organizational resources efficiently.
Event Support:
Provide on-site support during events, including occasional evenings, weekends, and holidays, as required. Qualifications and Requirements Previous experience in facility management, property maintenance, event coordination, operations, or a related field. Strong organizational and time-management skills, with the ability to manage multiple projects and deadlines. Excellent communication and interpersonal skills. Demonstrated ability to coordinate vendors, contractors, and service providers. Strong problem-solving skills and the ability to respond effectively to unexpected situations. Attention to detail and a proactive approach to identifying and addressing operational needs. Ability to work independently while collaborating effectively with staff and leadership. Basic computer skills, including email, spreadsheets, scheduling, and recordkeeping. Ability to manage physical tasks, including moving furniture, arranging event spaces, and handling supplies, with reasonable accommodations where applicable. Flexibility to work occasional evenings, weekends, and holidays based on organizational needs. Preferred Qualifications Experience working in a school, childcare center, synagogue, nonprofit organization, or community facility. Experience coordinating events for large groups, families, or community organizations. Familiarity with building maintenance, preventative maintenance schedules, and facility safety procedures. Experience managing vendor relationships, obtaining quotes, and tracking budgets. Knowledge of applicable childcare facility safety requirements. Relevant training or certifications in facilities management, occupational safety, emergency preparedness, or event planning. Work Environment and Schedule This position will support both Gan Yeladim Early Childhood Center and Stamford Chabad. The role involves a combination of facility inspections, maintenance coordination, administrative work, event preparation, and on-site event support. The schedule may vary depending on school operations, maintenance requirements, and the organizations' event calendars. Occasional evening, weekend, and holiday availability will be required.
