About the
Role:
We are looking for a highly organized, hands-on Workplace Services Coordinator to support the day-to-day operations of a client partner's facilities in Freeport and Fort Walton Beach, Florida. This role will serve as the local point of contact for workplace and facility needs across both locations, helping ensure employees, engineering teams, visitors, and business partners have safe, reliable, and well-maintained environments in which to operate. The Workplace Services Coordinator will be a NeXgen employee embedded on-site, working closely with the client's local Defense leadership and cross-functional partners, including Security, EHS, IT, Real Estate, Finance, Procurement, and People Operations. This is a service-oriented, operational role requiring someone comfortable being hands-on, solving problems quickly, coordinating vendors, and taking ownership of the workplace experience At NeXgen Facilities Group, you will: Provide day-to-day workplace and facilities support for the Freeport and Fort Walton Beach R&D locations. Serve as the primary local point of contact for workplace-related requests, issues, and employee needs. Conduct regular site walks to identify maintenance, safety, housekeeping, and workplace experience issues before they impact operations. Coordinate preventive and corrective maintenance for HVAC, electrical, plumbing, lighting, doors, building systems, and general facility needs. Manage workplace service requests and ensure issues are documented, prioritized, communicated, and closed in a timely manner. Maintain workplace standards across offices, conference rooms, common areas, kitchens, R&D support spaces, and other employee areas. Support furniture moves, employee moves/adds/changes, workspace setups, and minor facility projects. Coordinate local service providers including janitorial, landscaping, pest control, HVAC, electrical, plumbing, waste, and other facility vendors. Manage vendor scheduling, site access, service quality, and follow-up. Partner with landlords and property management teams to address building-related issues. Track recurring services, maintenance activities, inspections, and vendor performance. Assist Places leadership with obtaining proposals, purchase orders, invoices, and basic expense tracking. Partner closely with local Defense and engineering teams to understand the operational requirements of the R&D facilities. Support facility readiness for engineering activities, vehicle or equipment operations, testing activities, and changing R&D requirements. Coordinate workplace and facility support without disrupting critical engineering or testing activities. Help maintain organized, professional, and operationally ready R&D environments. Escalate infrastructure, capacity, safety, or facility risks to the appropriate Places leadership. Partner with EHS and Security to support a safe and secure workplace. Assist with required facility inspections, corrective actions, emergency preparedness, and workplace safety programs. Support implementation of site access, visitor management, badging, and security procedures. Help ensure contractors and vendors follow established site safety and security requirements. Maintain awareness of the unique operational and security requirements associated with Defense R&D environments. Help create a welcoming, organized, and highly functional workplace experience. Support employee onboarding and workspace readiness for new hires. Assist with office supplies, pantry services, workplace amenities, signage, shipping/receiving, and other site services. Support executive, customer, and other high-visibility visits to the facilities. Respond quickly and professionally to employee workplace concerns. We're looking for someone who has: 3+ years of experience in workplace services, facilities coordination, office operations, property management, hospitality, or a related operational role. Experience supporting technical, engineering, manufacturing, laboratory, R&D, aerospace, defense, or similarly operational environments is preferred. Individuals will need to be a US citizen due to the environment they will be working in. Strong organizational skills with the ability to manage multiple priorities across two locations. Comfortable working independently while remaining connected to a broader regional and global Places organization. Strong vendor management and customer-service skills. Ability to identify problems, take ownership, and drive issues through resolution. Strong written and verbal communication skills. Experience with workplace ticketing, work-order, visitor management, or facilities management systems is a plus. Basic understanding of commercial building systems and facility maintenance is preferred. Ability to travel regularly between the Freeport and Fort Walton Beach facilities.
Nice to have:
Experience supporting aerospace, defense, engineering, R&D, manufacturing, or other technical environments. Experience with labs, workshops, garages, vehicle operations, or specialized engineering spaces. Familiarity with EHS programs, OSHA requirements, and workplace safety practices. Experience supporting secure facilities, controlled-access environments, or Defense-related operations. Familiarity with CUI environments and associated security requirements. Experience managing facility vendors, preventive maintenance, work orders, and service contracts. Familiarity with workplace and facilities platforms such as Jira, Envoy, CMMS, or IWMS systems. Experience coordinating small facility projects, office moves, furniture installations, and space changes. Working knowledge of commercial building systems, including HVAC, electrical, plumbing, access control, and life safety. OSHA 10, First Aid/CPR, facilities management certification, or ability to obtain required security credentials. Compensation at NeXgen Facilities Group for eligible roles includes base salary and benefits. Base salary is a single component of the total compensation package, which may also include comprehensive health and 401k retirement benefits. Note that benefits are subject to change and may vary based on jurisdiction of employment. NeXgen Facilities Group's pay ranges reflect the minimum and maximum intended target base salary for new hire salaries for the position. The actual base salary offered to a successful candidate will additionally be influenced by a variety of factors including experience, credentials & certifications, educational attainment, skill level requirements, interview performance, and the level and scope of the position.
Pay:
$75,000.00 - $90,000.00 per year
