Job Description

Position Summary:
Avlon Industries is seeking a hands-on, highly organized Facilities Coordinator to oversee the day-to-day condition, maintenance coordination, and general upkeep of our manufacturing facility. This role is responsible for ensuring that building, grounds, utility, safety, security, and general facility issues are identified, documented, assigned, and brought to completion in a timely manner. The Facilities Coordinator will serve as the central point of ownership for facility-related work orders, contractors, inspections, preventive maintenance activities, and repairs. The successful candidate should be proactive and observant, with the ability to identify issues before they become larger operational or safety problems. This is not solely an administrative position. The Facilities Coordinator is expected to regularly walk the facility, identify deficiencies, coordinate corrective action, and verify that work has been completed properly.
Key Responsibilities:
Facility Inspection and Upkeep Conduct routine walkthroughs of the manufacturing plant, warehouse areas, offices, exterior grounds, parking areas, and building perimeter. Identify damaged, deteriorating, unsafe, or improperly functioning facility components.
Monitor conditions involving:
Gates and fencing Overhead and garage doors Loading docks and dock equipment Exterior and interior doors Roofs, gutters, and drainage Lighting Plumbing Electrical systems HVAC systems Parking lots and exterior grounds Building finishes and structural components Security-related physical infrastructure Escalate urgent safety, electrical, structural, or operational concerns immediately. Work Order Management Maintain a centralized facilities work-order system or tracking log. Record reported issues and assign appropriate priority levels. Ensure each issue has a responsible party, expected completion date, and documented resolution. Follow up on open repairs until satisfactory completion. Maintain visibility of aging work orders and unresolved facility issues. Provide regular reporting on open, completed, overdue, and high-priority items. Vendor and Contractor Coordination Identify and coordinate qualified contractors for facility repairs and services. Obtain competitive quotes when appropriate. Schedule contractors and coordinate site access. Monitor contractor performance and quality of work. Verify completion before closing work orders. Maintain vendor contact information, service agreements, warranties, and relevant documentation. Support negotiation and management of recurring service contracts. Preventive Maintenance Maintain a preventive-maintenance calendar for applicable facility systems. Coordinate scheduled inspections and servicing for items such as: HVAC equipment Overhead doors Dock equipment Electrical systems Plumbing Fire and life-safety systems Generators and backup systems Building security systems Other facility infrastructure Track scheduled maintenance to ensure required service is completed on time. Help reduce emergency repairs through proactive identification and preventive maintenance. Safety and Compliance Support Work closely with Operations and EHS personnel to address facility-related safety concerns. Help ensure exits, walkways, doors, gates, lighting, and common areas remain safe and serviceable. Assist with corrective actions resulting from safety inspections, insurance inspections, regulatory reviews, or internal audits. Maintain records of relevant inspections, repairs, and certifications. Facility Projects Coordinate small facility improvement and repair projects. Assist management with planning and execution of larger capital projects. Track project costs, timelines, contractors, and completion status. Assist with facility upgrades, renovations, equipment installations, and infrastructure improvements as assigned. General Facilities Administration Maintain organized records for facility repairs, invoices, warranties, inspections, and service contracts. Assist with purchasing facility-related materials and services. Monitor recurring facility expenses and identify opportunities for cost reduction. Coordinate landscaping, snow removal, pest control, waste services, cleaning services, and other facility vendors as applicable. Respond promptly to facility-related requests from Operations, Warehouse, Production, Quality, and other departments. Performance Expectations Success in this role will be measured in part by: Reduction in unresolved facility issues Timely closure of work orders Aging of open work orders Completion of preventive-maintenance activities Facility inspection results Reduction in repeat repairs Vendor responsiveness and cost control Condition and appearance of the facility Responsiveness to safety and operational concerns The Facilities Coordinator should maintain a strong sense of ownership and should not rely solely on employees reporting problems. Regular facility inspection and proactive identification of issues are fundamental expectations of the position. Qualifications 3+ years of experience in facilities coordination, building maintenance, industrial maintenance, property management, manufacturing operations, or a related field preferred. Experience working in a manufacturing, warehouse, industrial, or commercial facility strongly preferred. Strong organizational and follow-up skills. Ability to manage multiple contractors, work orders, and projects simultaneously. Basic knowledge of building systems, including electrical, plumbing, HVAC, doors, docks, and general construction. Ability to identify when a condition requires a licensed or specialized contractor. Strong written and verbal communication skills. Comfortable using Microsoft Office, work-order software, or similar tracking systems. Ability to read quotes, invoices, service reports, and basic technical documentation. Demonstrated ability to take ownership of issues and drive them through completion. Preferred Qualifications Experience in a manufacturing plant. Experience managing contractors and service vendors. Familiarity with preventive-maintenance programs. Familiarity with OSHA-related facility requirements and general industrial safety practices. Experience with CMMS or maintenance-management software. Basic mechanical or technical background. Physical Requirements Ability to routinely walk throughout a manufacturing and warehouse environment. Ability to inspect interior and exterior areas of the facility. Ability to climb stairs and access facility areas as necessary. Ability to occasionally lift or move light equipment, tools, or materials. Must be comfortable working around manufacturing operations and industrial equipment. Position Profile This position is well suited for someone who is naturally observant, organized, persistent, and comfortable taking ownership. The Facilities Coordinator is expected to see a problem such as a damaged fence, malfunctioning overhead door, leaking fixture, failed light, building deterioration, or unsafe condition and take responsibility for getting the issue properly resolved rather than simply reporting it to someone else.
Pay:
$70,000.00 - $90,000.00 per year
