primary functions:
The Facility Operations Specialist plays a key role in ensuring smooth day-to-day operations by supporting mail processing, supply management, document handling, and facility-related tasks. This position is responsible for managing incoming and outgoing mail, preparing courier bags, processing payments, maintaining supply inventory, and assisting with facility service requests. Additionally, the role supports ATM operations, prepares member notices, and serves as a backup for courier duties.
responsibilities:
Process incoming and outgoing mail efficiently. Prepare and distribute courier bags to designated locations. Manage supply inventory and fulfill orders for various departments. Coordinate with vendors to ensure timely replenishment of office supplies. Responsible for escorting third party vendors throughout the credit union as needed. Scan and index documents into the appropriate systems with accuracy. Perform daily ATM duties, including monitoring up-time, reporting operational issues to the vendor and ensuring timely resolution of these issues. Prepare and distribute outgoing member notices in a timely manner. Assist in tracking and managing facility request tickets to ensure timely resolution. Accurately process mail-in payments and ensure timely posting. As needed, assist with daily courier services to all branches to ensure proper distribution of sensitive information and necessary branch supplies. Safely operate and maintain company vehicles in accordance with the credit union policy, state and local laws. Maintain security and compliance in handling sensitive correspondence. Comply with all Federal regulations, Credit Union policies and procedures, including Bank Secrecy and the USA Patriot Act. Perform job duties in accordance with the Credit Union's values, mission and vision. Perform other duties as assigned.
minimum requirements:
High school diploma Financial institution back office experience preferred. Strong attention to detail and organizational skills Ability to lift and transport mail bags, courier items and supplies as needed. Reliable and self-motivated team player Basic computer proficiency, including Microsoft suite of products
