Job Description

Administrative Assistant- Facilities Department (full-time, year-round) Tilton School seeks an experienced Administrative Assistant within our Facilities department. This position is responsible for supporting the Facilities Director, Supervisor(s) and staff members in a wide variety of tasks including, but not limited to: receive and direct incoming phone calls, answer emails providing routine departmental information, greet visitors and vendors, organize and manage paperwork to include scanning, coping and filing, track work orders for completion, issue completed work order correspondence in a timely fashion, create and track student damage work orders for processing by the business office, assist with collecting, sorting and distributing mail, run reports from the work order system for the Director and Supervisors, create requisitions, apply corresponding account codes for special projects and track receipts, track requisition status until purchase is received, forward all invoices to the business office for payment, schedule and make arrangements for routine project management meetings, and timely submissions of compliance documents to local, state and federal agencies. This position reports directly to and is a supporting role for the Director of Facilities. Preference will be given to candidates who demonstrate: Outstanding written and oral skills in communication; Ability to work independently at times; At least 2-3 years experience in office management, or business management with major duties including purchasing, records management, requisitions, budgeting, and clerical work; Advanced knowledge of Microsoft Office, Excel, Word and Google Suite; Must display a courteous and professional attitude when dealing with co-workers, vendors, and the public.
