Job Description

Overview We are seeking a dependable, hands-on Facilities & Office Support Specialist to provide day-to-day support for a busy professional office environment. This position is ideal for someone who enjoys variety, takes initiative, is comfortable troubleshooting basic facilities and technology issues, and provides excellent customer service. This is a highly visible, 100% onsite role Monday through Friday . The position supports facilities maintenance, office technology, mail and shipping, kitchens, printers, office supplies, safety and security procedures, vendor coordination, and general office operations. Key ResponsibilitiesFacilities & Light Maintenance Respond to day-to-day office maintenance requests and inspect reported concerns. Perform basic repairs such as tightening furniture, replacing chair arms or casters, plunging toilets, addressing minor leaks, and other light maintenance. Use basic hand and power tools including drills, levels, and tape measures. Determine when an issue requires additional facilities, landlord, technician, or vendor support. Coordinate vendor and technician visits and follow issues through completion. Maintain accurate tracking logs and status updates for open facilities requests. Respond promptly to potential safety concerns such as leaks, damaged equipment, or blocked areas. Technology & Workstation Support Install and connect monitors, docking stations, cables, and other workstation equipment. Test and troubleshoot basic workstation and conference-room AV equipment. Replace cords, cables, and other basic IT equipment as needed. Assist employees with minor technology issues and direct more advanced issues to the appropriate IT support resources. Order replacement workstation equipment when required. Mailroom & Shipping Receive, sort, and distribute incoming mail and packages. Notify employees when packages are available and securely store items until pickup. Prepare outgoing shipments, including packing items, weighing packages, creating shipping labels, and applying proper account coding. Process shipments through FedEx and other carriers. Make occasional trips to the post office when necessary. Kitchen & Breakroom Support Stock kitchens and monitor food, beverage, and supply levels. Load, unload, and run dishwashers. Keep kitchen and breakroom areas organized throughout the day. Review deliveries against purchase orders and invoices for accuracy. Coordinate service and repairs for coffee machines and kitchen equipment. Replace refrigerator filters and other routine items as needed. Proactively identify cleanliness, maintenance, and safety concerns. Printers, Plotters & Office Supplies Refill printers and copiers with paper and maintain appropriate supply levels. Monitor and order toner and other printing supplies. Assist employees with basic printer, copier, and plotter operation. Serve as the point of contact for printer and plotter service issues and coordinate onsite technicians. Stock office supply cabinets and monitor inventory levels. Safety, HSE & Sustainability Complete monthly office safety tracking requirements. Check fire extinguisher inspection tags and other routine safety items. Maintain required HSE documentation, inspection records, invoices, receipts, and training confirmations. Assist with emergency evacuation drills and serve as a floor warden after training. Participate in First Aid/CPR/AED training when available. Become familiar with office emergency and HSE procedures and assist during safety-related events. Maintain monthly sustainability documentation, including utility, recycling, and shredding information. Upload required invoices and information into applicable sustainability tracking systems. Reception, Security & Employee Support Provide backup reception coverage during breaks and absences. Greet and assist employees, visitors, vendors, and delivery personnel. Follow established visitor and front-desk procedures. Assist with catering deliveries and meeting/event logistics. Support ID badge creation and recovery, access cards, visitor management, parking records, and daily headcount reporting. Help maintain the physical security of the office in accordance with established procedures. Administrative & Vendor Support Receive and review vendor invoices for accuracy. Scan and save invoices using established file naming and filing procedures. Submit accurate invoices for Accounts Payable processing. Communicate with employees, vendors, property management, and other partners regarding building, maintenance, janitorial, and safety issues. Create and post appropriate office signage such as wet-floor, wet-paint, out-of-order, or service-notification signs. Use cones, caution tape, or other barriers to safely restrict areas when necessary. General Office & Event Support Assist with conference-room setups, furniture changes, tables, chairs, and other meeting needs. Support company events and office activities, including picnic or event setup, parking coordination, rental vendor coordination, and waste/recycling setup. Provide professional, responsive customer service to employees and visitors. Take initiative to identify and address office needs as they arise. Qualifications Ability to work onsite Monday through Friday . Reliable transportation in all weather conditions. Ability to lift and carry up to 60 lbs. Ability to bend, carry materials, move office equipment, and safely climb a ladder when needed. Comfortable performing basic hands-on maintenance and repairs. Working knowledge of basic tools such as a drill, level, tape measure, and similar equipment. Basic IT/technology knowledge, including monitor installation, docking-station setup, cable connections, and basic troubleshooting. Strong computer skills, including Microsoft Office/Microsoft 365. Working knowledge of Microsoft Teams, Outlook email and calendars, Excel, and PDF editing/conversion . Strong organizational skills with the ability to track multiple requests through completion. Strong written and verbal communication skills. Professional, dependable, proactive, and customer-service oriented. Comfortable interacting with employees, visitors, property management, technicians, and outside vendors. Ability to recognize and respond appropriately to office safety and security concerns. Ideal Candidate The ideal candidate is a hands-on problem solver who takes ownership of issues from start to finish . You should be comfortable moving between physical facilities work, basic technology troubleshooting, administrative tasks, vendor coordination, and employee support throughout the day. Because office needs can change quickly, success in this position requires flexibility, urgency, attention to detail, and a willingness to jump in wherever support is needed.
