Job Description

The Facilities Coordinator is responsible for supporting the day-to-day operations and maintenance of office facilities across multiple locations. This role ensures that office environments are safe, functional, and well-equipped by coordinating maintenance, managing supplies, and supporting operational compliance. The Facilities Coordinator plays a key role in maintaining efficiency, controlling costs, and ensuring a positive workplace experience. This position requires working in person at your assigned location. Duties and responsibilities Oversee daily facility and operational activities across all company office locations to ensure safe, compliant, and efficient environments Supervise, mentor, and evaluate Facilities support staff, setting clear expectations and performance goals Direct preventative and corrective maintenance programs for building systems, physical assets, and company vehicles Review annual facility permits, real estate leases, and utility contracts to ensure terms, compliance, and renewals are up to date Manage utility invoice reviews, facility budgets, and cost-containment initiatives to ensure operational financial targets are met Coordinate routine and preventative maintenance for office equipment and building systems Utilize data-driven reporting—including quality control audits, surveillance reviews, vehicle tracking, and supply metrics—to identify risks and operational gaps Establish, standardize, and enforce company-wide facility procedures, safety protocols, and operational controls Manage vendor, landlord, and contractor relationships, negotiating service agreements to secure quality service and competitive pricing Oversee maintenance ticketing workflows, ensuring rapid resolution of urgent issues and critical repairs Lead disaster planning, emergency preparedness, and physical security initiatives across all locations Partner with senior leadership to plan expansion, office build-outs, and strategic operational initiatives Support implementation and enforcement of operational controls and standards. This position requires working in person at your assigned location. Miscellaneous duties as assigned. Monday thru Friday 9 - 6 weekends as needed
