Job Description

Position Summary:
The Development Coordinator provides the administrative, database, donor-service, mailing, and logistical support necessary for Catholic Charities of Northern Kansas' fundraising efforts to operate accurately and efficiently. This position manages donor records and gift processing, prepares donor acknowledgments, supports fundraising campaigns and events, and provides responsive service to donors and community members. Strong attention to detail, organization, time management, follow-through, and collaboration are essential. The position works closely with the Executive Director, development staff, finance staff, and other departments to ensure development activities are timely, accurate, coordinated, and mission-centered.

  • 10% Key Responsibilities 1.
Donor Database, Gift Processing & Reporting a. Manage day-to-day administration of the Bloomerang donor database, ensuring accurate, complete, and consistent donor and gift records. b. Enter gifts and maintain donor, campaign, appeal, fund, household, preference, recurring gift, and other constituent information according to established procedures. c. Reconcile donor records with Finance, promptly researching and correcting discrepancies. d. Generate donor reports, mailing and segmentation lists, labels, exports, and other data needed for fundraising, stewardship, and development activities. e. Maintain written procedures for recurring database and gift-processing functions. f. Protect donor confidentiality and follow established standards for access, disclosure, and use of donor information. 2. Donor Acknowledgment & Stewardship a. Ensure gifts are acknowledged promptly and accurately, including preparing and mailing donor thank-you letters and maintaining approved acknowledgment templates in collaboration with development and communications staff. b. Prepare and distribute year-end giving statements and required donor tax documentation. c. Maintain recurring gift records and coordinate routine donor stewardship activities, including birthday, anniversary, sympathy, holiday, and other recognition cards. d. Assist with holiday stewardship deliveries and other donor-recognition activities, including scheduling, materials, and logistics. e. Provide responsive, professional service to donors and community members by phone, email, and in person. f. Ensure donor interactions reflect gratitude, professionalism, confidentiality, and the mission of Catholic Charities. 3. Fundraising Support a. Provide administrative and logistical support for the Annual Campaign, Baby Bottle Campaigns, match pools, Giving Days, tax-credit fundraising, online giving, and other approved fundraising initiatives. b. Prepare mailing lists, uploads, merges, labels, data files, response tracking, gift tracking, acknowledgments, reports, and related campaign materials. c. Coordinate Baby Bottle Campaign schedules, materials, communication, tracking, and follow-up. d. Support online giving administration, donor records, gift processing, and troubleshooting as needed. e. Work with development and communications staff to ensure campaign activities are accurate, organized, and completed on schedule. f. Provide administrative and logistical support for the Green Tie Celebration, including registration, guest support, mailings, attendee information, event materials, gift processing, and post-event acknowledgments. g. Coordinate approved supply drives and in-kind donation initiatives with businesses, parishes, community organizations, and donors. h. Coordinate the vehicle donation program. 4. Department Collaboration & Professional Development a. Provide administrative support to development staff, including donor correspondence, prospect research, reports, meeting preparation, and follow-up. b. Provide information, photos, statistics, and other materials needed for development communications and assist with the Register, Salina Diocese News Bulletin, parish e-news, website, social media, and digital signs as requested by communications staff. c. Support donor and community engagement events, booths, parish visits, Ambassador activities, and the annual Adoption Mass through materials preparation, registration, supplies, signage, and other logistics. d. Assist with ordering, inventory, and distribution of approved apparel, promotional items, campaign materials, and event supplies, while communications staff retain responsibility for branding and design. e. Maintain organized project workflows and communicate proactively about deadlines, competing priorities, errors, or questions. f. Participate in relevant professional development and continue building knowledge of donor relations, stewardship, fundraising operations, database management, and nonprofit development. Expectations for Success Scorecard Donor and gift records consistently meet established accuracy standards, with a goal of 98% or greater accuracy. Gifts are entered and acknowledged within three business days under normal operating circumstances. Finance reconciliation is completed accurately and on time, with discrepancies resolved promptly. Year-end statements and required donor documentation are accurate and distributed on schedule. Mailing lists, reports, uploads, and campaign data are delivered accurately and by established deadlines. Donor inquiries receive timely (within 1-2 business days), professional responses. Errors are identified and corrected promptly, and recurring errors are addressed through improved procedures. The employee communicates questions or conflicting priorities before proceeding when expectations are unclear. Zero repeat compliance concerns or preventable confidentiality breaches. Communication & Collaboration Expectations Communicate proactively with the Executive Director and development staff regarding deadlines, donor concerns, database issues, gift-processing questions, and competing priorities. Work closely with Finance to maintain accurate reconciliation and appropriate internal controls. Coordinate with communications staff regarding messaging, branding, donor materials, digital content, and promotional products. Maintain clear project communication and ask questions before acting when instructions, ownership, or priorities are uncertain. Share relevant information promptly with team members while protecting donor confidentiality. Approach work with accuracy, thoughtful planning, collaboration, and a commitment to continuous improvement. Ensure communication is timely, respectful, and consistent with mission and confidentiality expectations.
Storytelling:
Provide photos, stories, and updates (with proper consent) to support agency communications efforts. Decision-Making Authority & Boundaries This position has authority to: Maintain donor records according to established procedures. Generate reports, lists, acknowledgments, and routine correspondence. Coordinate approved mailings, supply drives, event logistics, and recurring stewardship activities. Communicate with donors regarding routine administrative or service matters. Recommend improvements to donor processes, database practices, acknowledgments, and development operations. This position does not have authority to: Establish fundraising goals or fundraising strategy. Independently solicit major gifts or manage major donor strategy. Promise restrictions, recognition, naming opportunities, benefits, or specific uses of gifts without approval. Change gift coding, donor restrictions, accounting treatment, or financial procedures outside established controls. Launch a new fundraising campaign, event, or community initiative without approval. Publish organizational messaging or alter brand standards without communications staff approval. Override established financial controls or enter into contracts or formal agreements on behalf of Catholic Charities without authorization.
Required Qualifications and Skills Education and Experience:
Two or more years of experience in fundraising, administrative coordination, database administration, customer service, marketing, or related work. Bachelor's degree in Business, Communications, Marketing, Nonprofit Management, or related field preferred. Attention to

Professional Competencies:
Demonstrated ability to handle confidential financial and donor information appropriately and exercise sound professional judgment. Thorough understanding of and adherence to confidentiality policies and regulatory standards.
Technical Proficiencies and Certifications:
Proficiency with Microsoft Office and ability to learn donor databases, project-management systems, online giving platforms, and related technology. Valid driver's license and ability to travel independently to rural communities and other Catholic Charities offices. Successful completion of Diocese of Salina Safe Environment training and ability to pass a background check prior to starting role.

Work Environment:
This role operates primarily in a professional office setting using standard office equipment such as computers, phones, printers, scanners, mailing equipment, and donor database systems. Periodic work may occur at events, parishes, Catholic Charities offices, community locations, or outdoor settings. Strict donor and client confidentiality must be maintained at all times.
Physical Demands:
Ability to work at a computer for extended periods, prepare mailings and event materials, move supplies, and lift up to approximately 25 pounds. Occasional loading, unloading, standing, walking, and event setup may be required.
Pay Range:
$21
  • 26 per hour, based on experience, qualifications, and relevant skills.
