$50,000 annually (negotiable based on experience) About Be Concerned, Inc.: Be Concerned is a nonprofit organization dedicated to alleviating hunger in the Northern Kentucky region. Our food pantry and thrift store programs provide essential support to individuals and families facing food insecurity. We are committed to serving the community with compassion, dignity, and respect, and rely heavily on the contributions of our dedicated volunteers, donors, and staff.
Position Summary:
The Fundraising and Volunteer Coordination Assistant will work closely with the Development Team to support the development and execution of internal and external fundraising initiatives, while also working with the Operations Director to assist with volunteer coordination and training at Be Concerned, Inc, at our offsite partner locations, or at community events in Northern Kentucky. The primary responsibilities include assisting with offsite fundraising coordination, offsite volunteer support, coordination of technical support for fundraising activities, handling after-hours calls from offsite volunteers, and ensuring compliance with state regulations, including volunteer training protocols. The ideal candidate is highly organized, detail-oriented, and passionate about supporting our mission to provide food assistance to those in need.
Key Responsibilities:
Fundraising Support:
Assist the Development Team with the planning and execution of fundraising campaigns, active fundraising activities, events, and donor communications. Manage logistics for offsite fundraising activities, ensuring compliance with local and state regulations, including banking compliance. Coordinate outreach to potential sponsors, donors, and partners to support fundraising efforts. With the Fundraising and Marketing Director, maintain and ensure accurate records of offsite fundraising activities and assist with bank deposits from fundraising activities. Communicate as needed with vendors associated with fundraising activities. Respond to after-hours calls and if the need arises, offer onsite support. Provide technical assistance if fundraising supplies or machines experience issues.
Volunteer Coordination & Training:
Assist in the recruitment, scheduling, and coordination of volunteers for on-site and off-site fundraising events and food pantry operations. Ensure that all volunteers complete the required training in compliance with state regulations, especially for offsite activities related to fundraising. Conduct offsite and onsite volunteer training sessions, ensuring compliance with Be Concerned's volunteer policies/expectations and Kentucky state guidelines regarding volunteer fundraising expectations Track volunteer hours and ensure proper documentation is maintained for reporting purposes. Provide on-call support for offsite volunteers. Take photos of volunteer activities, and post to Be Concerned social media. Confirm roster of active off-site volunteers on a regular basis
Compliance & Reporting:
With the Fundraising and Marketing Director and Executive Director, ensure all fundraising activities comply with Kentucky state laws and guidelines for charitable organizations, especially regarding offsite fundraising activities and volunteer tracking. Work closely with the Executive Director and Business Development Director to ensure all necessary fundraising permits and licenses are secured for events. Assist in creating reports for internal and external stakeholders, including donors and regulatory bodies, to document the impact and outcomes of fundraising efforts.
Event Coordination:
Help coordinate logistics for on-site and off-site fundraising events and agency presence at them. Support the development and distribution of event materials, such as flyers, invitations, and thank-you notes. Golf Outing Communications & Marketing Support:
Assist with creating content for social media, newsletters, and other marketing materials to promote fundraising initiatives and volunteer opportunities. Collaborate with the marketing team to increase community awareness of Be Concerned's mission and fundraising goals. Be the main point of contact for offsite volunteers assisting with fundraising activities.
Qualifications:
Bachelor's degree in nonprofit management, communications, business, or a related field (or equivalent experience). Experience in fundraising, charitable gaming, event planning, or volunteer coordination preferred. Familiarity with Kentucky state regulations and compliance requirements for nonprofit fundraising and volunteer training. Excellent organizational skills with the ability to manage multiple tasks and meet deadlines. Strong written and verbal communication skills. Proficiency in Microsoft Office and donor management systems (experience with donor databases a plus). Ability to work flexible hours, including evenings and weekends for events and after hours calls. Passion for the mission of Be Concerned and a strong commitment to serving the community. Physical Requirements:
Ability to lift up to 25 pounds.
