Hybrid; onsite 2 days per week in San Francisco, CA Job Summary The Grants Specialist will provide analytical, financial, and training support related to contract and grant proposal development, grant writing, funding administration, and budget development. Responsibilities may include pre-award proposal initiatives, post-award fund management, and closeout activities for federal, state, local, and private sponsors. The ideal candidate will have experience with pre-award research administration, budget development, and proposal submission, particularly with National Institutes of Health (NIH) applications. Key Responsibilities Manage the full proposal development and submission process. Develop and review complex research budgets. Interpret sponsor requirements, regulations, terms, and conditions. Ensure proposals meet sponsor and institutional guidelines. Support federal, state, local, and private grant and contract activities. Review proposals for accuracy, compliance, and program success. Negotiate, administer, and monitor contract and grant awards. Provide financial management and reporting support. Coordinate sub-award and subcontract issuance and administration. Maintain accurate contract and grant records. Support post-award fund management and closeout activities. Analyze research funding trends and sources. Assist with forecasting, planning, and research portfolio management. Complete and approve transactions for authorized institutional review. Work on complex proposals involving multiple investigators and sub-awards. Provide guidance and training to less experienced staff. Partner with faculty, researchers, sponsors, and administrative staff. Provide strategic advice and subject matter expertise regarding grants and contracts. Support institutional review, approval, and signature processes. Position Scope The successful candidate will be an experienced professional who understands how to apply research administration theory in practice. This individual will independently perform the full range of responsibilities within the function, demonstrate broad job knowledge, analyze complex problems, and determine appropriate solutions. The Grants Specialist will serve as the primary point of contact for faculty, external sponsors, award specialists, and administrative staff. This role will direct and manage the proposal process to ensure timely, compliant, and accurate submissions. The position will provide support throughout the life of the award and promote a collaborative model of stewardship among faculty and staff. Upon successful completion of certification, the employee may obtain delegated signature authority and be reclassified to a Research Administrator 4. Required Qualifications Experience in research administration, grants management, or sponsored projects. Knowledge of pre-award research administration. Experience with budget development and proposal submission. Familiarity with National Institutes of Health (NIH) applications. Understanding of federal, state, local, and private funding regulations. Knowledge of contract and grant compliance, financial management, and reporting. Ability to independently manage complex proposals and awards. Strong analytical, organizational, written, and verbal communication skills. Ability to interpret complex regulations and determine appropriate solutions. Ability to collaborate effectively with faculty, sponsors, and administrative staff. Preferred Experience Experience managing proposals involving multiple investigators. Experience with task budgets, option years, contracts, and sub-awards. Experience with subcontract issuance and administration. Experience providing training or guidance to less experienced staff. Knowledge of institutional research administration policies and procedures. Experience working in a university, research, or grant-funded environment.Pay:
