This position will assist with managing multiple calendars, scheduling, emails, meetings, travel, reports, business information, and other daily administrative responsibilities. The VP Assistant will work closely with the Vice President and various company departments, including production, warehouse, installation, sales, accounting, and operations. The position will assist with organizing information, monitoring production and productivity, bookkeeping, contracts, documents, job site information, and special projects. The position may also provide personal and family administrative support to the Vice President, including coordinating personal appointments, school schedules, children's appointments and activities, personal documents, bills or payments, and other personal matters as requested. The ideal candidate is highly organized, trustworthy, professional, detail-oriented, and able to handle confidential business and personal information. The candidate should be comfortable managing multiple priorities, working independently, communicating with different departments, and adapting to changing needs. Duties Manage multiple calendars for the Vice President, including business and personal appointments and commitments. Schedule and coordinate meetings, appointments, deadlines, and other important commitments. Assist with coordinating personal and family schedules, including school schedules, children's appointments, activities, and other personal commitments. Assist the Vice President with personal administrative matters, including scheduling appointments, organizing personal documents, tracking bills or payments, and other personal tasks as requested. Sort, organize, and prioritize emails and other information. Provide daily administrative support to the Vice President. Take accurate notes during meetings and organize and follow up on action items. Plan and organize business travel, including flights, hotels, rental cars, and related arrangements. Maintain travel information and assist with travel-related documentation. Prepare and organize reports, spreadsheets, documents, presentations, and other business materials. Collect and organize information from different departments for the Vice President. Assist with monitoring production, productivity, overtime, operational costs, and other business information. Work with production, warehouse, installation, sales, accounting, and other departments as needed. Assist with resolving production and operational issues. Review cabinet drawings, measurements, layouts, and specifications when needed. Assist with drafting and AutoCAD work as needed. Visit local job sites and Company locations as needed for meetings, project information, measurements, or follow-up. Communicate job site information and updates to the Vice President. Assist with bookkeeping, accounting, invoices, receipts, and other financial information. Organize and maintain business contracts and other important documents. Maintain accurate business records and documentation. Maintain confidentiality of Company, business, financial, and personal information. Run business-related errands as needed, including coffee, light shopping, pickups, or deliveries. Assist with special projects and other assignments from the Vice President. Follow Company policies and procedures. Perform other related duties and responsibilities as assigned. Requirements High school diploma or equivalent required. Previous administrative, executive assistant, office management, or similar experience preferred. 5+ years of experience in cabinet manufacturing, woodworking, production, operations, administration, or a related industry preferred. Knowledge and understanding of the cabinet and woodworking industry preferred. Experience managing multiple calendars and coordinating complex schedules. Strong knowledge of Google Workspace, including Gmail, Google Calendar, Google Docs, and Google Sheets. QuickBooks Online or general bookkeeping experience preferred. Experience working with invoices, receipts, financial records, or other accounting information preferred. Experience reading cabinet drawings, layouts, measurements, and specifications preferred. Drafting and AutoCAD experience preferred. Strong written and verbal communication skills. Strong organizational and time-management skills. Strong attention to detail and accuracy. Ability to handle confidential business and personal information with discretion. Ability to manage multiple priorities and changing schedules. Ability to work independently and take initiative. Ability to communicate professionally with employees, managers, vendors, customers, and other business contacts. Bilingual English/Spanish preferred. Valid driver's license required. Willingness to travel to local job sites and Company locations as needed. Willingness to perform business-related errands as needed.
