Chief of Staff

Job Description

The Chief of Staff serves as a strategic partner to the CEO and extends the CEO's capacity by directly owning and advancing high-priority organizational initiatives. The role leads major projects that cross traditional departmental boundaries or require sustained executive-level coordination, ensuring that priorities move from strategy and decision to execution. As Boys & Girls Club of Metro Queens enters a significant period of growth—including a major capital project, expanded programming and facilities, and ambitious long-term organizational goals—the Chief of Staff will help ensure that the organization's infrastructure and strategic execution keep pace with that growth. This is not a program leadership position, and prior experience operating youth development or nonprofit programs is not required. BGCMQ has senior leaders responsible for program strategy and operations. Instead, the Chief of Staff brings a complementary perspective and should be comfortable working across areas in which they may not be the subject-matter expert—asking strong questions, connecting people and information, identifying risks, and helping translate organizational priorities into action. The Chief of Staff is also not responsible for managing the day-to-day operations of departments or serving as the default follow-up mechanism for work owned by other senior leaders. Success in this role comes from advancing significant CEO and enterprise priorities, creating clarity around complex initiatives, and increasing the organization's ability to execute without requiring unnecessary CEO involvement. Core Responsibilities I. Major Organizational Initiatives & CEO Priorities § Serve as the CEO's designated lead for selected major organizational initiatives requiring sustained executive-level attention and coordination. § Take direct ownership of projects that cross traditional departmental boundaries or do not naturally sit within a single department. § Translate CEO and organizational priorities into clear project plans, milestones, decision points, responsibilities and timelines. § Convene internal and external stakeholders and drive assigned initiatives from planning through completion. § Identify barriers, dependencies and risks early and bring appropriate decisions to the CEO. § Maintain sufficient visibility so the CEO understands the status of major initiatives without needing to personally manage their day-to-day execution. § Represent the CEO in selected internal and external meetings when delegated authority is appropriate. II. Capital Planning & Execution The Chief of Staff will serve as a key organizational leader for BGCMQ's current capital expansion and future capital initiatives.
Responsibilities include:
§ Lead organizational coordination for the completion and close-out of Phase I capital construction. § Lead planning and organizational execution for Phase II. § Coordinate closely with the CEO, COO and other organizational leaders to ensure capital plans support BGCMQ's programmatic and operational needs. § Serve as a primary organizational point of contact with appropriate City and State agencies and public funding partners. § Coordinate the work of the owner's representative, architects, consultants, contractors, trades and other external partners. § Establish and maintain appropriate project meetings, timelines, action items and decision points. § Track funding commitments, project milestones and significant risks. § Engage the CEO at appropriate strategic and external decision points without requiring the CEO to manage routine project activity. Experience with capital projects, commercial real estate, construction, economic development, government-funded projects or similar complex initiatives is strongly preferred. III. Government & External Stakeholder Coordination § Support the CEO in maintaining productive relationships with elected officials, government agencies, public funding partners and other significant external stakeholders. § Coordinate meetings and engagement with City, State and other government partners. § Ensure appropriate preparation, briefing and organizational follow-through around significant external meetings. § Track commitments, funding opportunities, decisions and next steps resulting from government and external stakeholder engagement. § Work across BGCMQ departments to ensure the organization is prepared to respond effectively to significant external opportunities and requirements. IV. Board & Governance Coordination § Partner with the CEO and Board leadership to support effective Board governance. § Coordinate Board and committee meeting schedules, agendas, materials and organizational preparation. § Ensure appropriate information and organizational priorities reach the Board in a timely and useful manner. § Support follow-through on Board decisions, commitments and action items. § Coordinate preparation of senior leaders and staff participating in Board meetings. § Support Board meeting documentation and records, with administrative components delegated where appropriate. V. Strategic Planning & Organizational Growth § Partner with the CEO in translating BGCMQ's multi-year vision into strategic organizational priorities. § Help leadership look beyond immediate operational demands and anticipate the organizational capabilities required for future growth. § Lead selected strategic initiatives from concept through implementation. § Conduct research, analysis and external benchmarking to inform significant organizational decisions. § Develop relationships with peer organizations, external experts and partners who can provide perspective on challenges and opportunities facing BGCMQ. § Help identify emerging risks, opportunities and organizational dependencies before they become urgent. § Support planning related to organizational expansion, new facilities, partnerships and other significant opportunities. VI. Executive & Cross-Functional Coordination § Serve as a strategic thought partner to the CEO on organizational opportunities, challenges and decisions. § Facilitate cross-functional work when an initiative is CEO-sponsored, enterprise-wide, or spans multiple executive portfolios. § Help establish clarity around ownership, decision rights, milestones and expected outcomes for major cross-functional initiatives. § Surface material organizational risks or unresolved decisions requiring CEO attention. § Facilitate selected executive planning, strategy and organizational-development conversations at the direction of the CEO. § Help ensure decisions made by the CEO or Executive Leadership Team are translated into appropriate organizational action. The Chief of Staff may coach, challenge and support senior leaders but does not replace their responsibility for leading their departments, communicating across functions, or following through on commitments. VII. Special Initiatives The Chief of Staff will periodically lead significant organizational initiatives that require executive-level coordination but do not naturally reside within an existing department.
Near-term priorities may include:
§ BGCMQ's Phase II capital project. § Coordination of BGCMQ's 70th Anniversary initiatives and celebration in partnership with Development and organizational leadership. § Strategic growth and expansion initiatives. § Significant government-funded or cross-sector projects. § Other CEO-sponsored initiatives requiring sustained organizational leadership.
