Job Description
Job Summary:
The right candidate answers company phones, checks company messages, supports material orders and inventory management, support customer and vendor interactions and tracking, maintains the reception area and supports the management team in performing their duties. This candidate must be nimble and willing to take on more responsibilities as needed in a small and highly fast-paced organization such as ours. Punctuality and attention to details is essential in this role - late arrival or absences from work will be considered disqualifying for this role and result in termination.Essential Job Functions:
Experience managing the reception in a company: answering company phones, checking messages, receiving visitors and sorting mails. Basic experience with Microsoft Excel is helpful for this role for managing ordering, inventory and quality assurance record keeping. The right candidate with some basis Excel understanding will be trained for these tasks. Experience supporting the management team of a company in their daily duties. Support the shipping and receiving department to confirm orders and print pick up slips as needed. Experience processing and sending orders, tracking status of the orders, vendor information update and vendor check payment tracking status. Experience supporting human resources function. Preparing for new employee interviews, introducing new employees to company policies and other functions as may be required. Managing the vending machine refill and reorder of items for the vending machine. Printing of invoices and bills for accounting book-keeping. Keeping and inventorying the electronic copies of those documents. Has basic math skills and is able follow instructions and lists from supervisor. Must be able to communicate in oral and written English, show up for work daily and on time, work in a standing position, and lift 50 pounds. Must work in a safe manner and perform tasks in a fast-paced environment. High school diploma or higher, and fluent in and able to communicate effectively in English 1-5 years of experience of office administration or customer service experience Personable, patient, polite and friendly in dealing with people. Strong team player skills; able to work well with others and support internal cross-function needs. Competencies -Knowledge, Skills and Abilities:
