Full-time About Rhode Island Counseling Associates Rhode Island Counseling Associates (RICA) is a growing outpatient mental health practice providing compassionate, high-quality therapy and medication management services to individuals throughout Rhode Island. As we continue to expand, we are looking for a dependable, organized, and motivated Assistant Office Manager to help launch and support our newest Johnston location. During your onboarding, training will take place between our Lincoln and Cranston offices before transitioning to the Johnston office once it opens. Position Summary The Assistant Office Manager plays a key role in the daily operations of the practice. This position supports providers, patients, and administrative staff while ensuring the office runs efficiently and delivers an exceptional patient experience. The ideal candidate is organized, proactive, professional, and enjoys working in a fast-paced healthcare environment. Responsibilities Assist with the daily operations of the Johnston office. Support the Office Manager with administrative and operational tasks. Supervise front desk workflows and help maintain efficient office operations. Welcome patients and provide outstanding customer service. Answer incoming phone calls and assist with scheduling. Verify insurance information and collect patient documentation. Maintain accurate electronic patient records while ensuring HIPAA compliance. Assist with onboarding and training new administrative team members. Help resolve patient concerns and escalate issues when appropriate. Coordinate provider schedules and office coverage. Monitor office supplies and place inventory orders. Maintain a clean, organized, and professional office environment. Work collaboratively with therapists, psychiatric providers, and administrative staff. Assist with special projects and process improvements as needed. Qualifications Previous medical office or healthcare administration experience preferred. Prior supervisory or leadership experience is a plus. Excellent organizational and multitasking skills. Strong communication and customer service abilities. Ability to remain calm and professional in a fast-paced environment. Comfortable learning new technology and electronic medical record (EMR) systems. Proficient with Microsoft Office and Google Workspace. Reliable transportation for training between Lincoln and Cranston offices. High school diploma or equivalent required; associate's degree preferred.
