Florida Atlantic University is seeking a Budget Manager for the School of Environmental, Coastal and Ocean Sustainability (ECOS) in Davie, FL. This position plays a critical role in overseeing the school's financial operations, human resources processes, and sponsored research administration. The Budget Manager serves as a trusted partner to the ECOS Director and faculty, ensuring the effective stewardship of state funds, grants, endowments, foundation accounts, and gifts while maintaining compliance with university, state, and federal requirements.Summary of Responsibilities:
Responsible for financial management of all ECOS state funding, grants, endowments, foundation accounts, and gifts. Review all expenditures to ensure adequate funds and appropriate use of funds. Maintain audit trail for all expenses. Maintain electronic database for expenditures. Review and approve p-card expense reports, spend authorizations, and purchase requisitions in Workday. Serve as Human Resource Partner in Workday. Prepare and manage personnel contracts for faculty, staff, postdoctoral fellows, and students in Workday. Create position and job requisitions, request compensation, and complete hiring for employees and students. Work with Human Resources to complete hiring. Manage ECOS student appointments, fellowship and internship appointments across campuses. Prepare and submit graduate student tuition waivers each semester. Review biweekly payroll reports to ensure that employees are paid correctly. Work with Payroll Department to resolve payroll discrepancies. Present budgets and financial projections to the ECOS Director as requested. Perform budget management daily tasks including monitoring ECOS performance against spending patterns and implementing measures to adhere to the annual budget. Reconcile all ECOS accounts monthly and report financial activity to the Director and principal investigators. Work closely with the ECOS Director, faculty, and the Division of Research in preparation of grant submissions, including management reporting. Assist faculty principal investigators in preparing and submitting proposals for federal, state, and private grant applications. Prepare grant budgets, budget justifications, and all required forms and attachments for proposal submission in the appropriate system. Submit proposal documents in Novelution and external grant submission systems for review by Sponsored Programs. Track completion of all documents required for grant submission. Manage post-award grant activities. Communicate regularly with principal investigators. Create Workday personnel payroll and expenditure transactions required for research projects. Analyze financial reports. Review and reconcile project expenditures. Prepare adjustments and corrections to award budgets. Process cost transfers and payroll adjustments as necessary. Provide principal investigators regularly with financial reports and detail of expenditures. Collaborate with the Controller's Office, Foundation, Research Accounting, and Purchasing regarding payments and purchasing of supplies needed to operate the school. Responsible for staying current on federal, state, and university administrative policies as they relate to fiscal, personnel, and grants administration, and advising ECOS faculty and staff accordingly. Work with the Dean's Office, College of Science, and other academic administrators as needed. Provide administrative support to the ECOS Director as needed, including maintaining calendar, contact databases, correspondence, and creating reports. A master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required. Must have excellent verbal and written communication skills. Must have excellent customer service, organizational, and time management skills. Must be capable of setting work priorities and managing multiple projects simultaneously in a fast-paced, hands-on environment while meeting deadlines. Strong analytical skills preferred. Must be proficient in Microsoft Office programs, especially Excel. Workday experience preferred. Knowledge of current federal, state, and university administrative policies as they relate to fiscal, personnel, and grants administration preferred.Salary:
