We're hiring a full-time Confirmation Clerk . Here's the job in one sentence: nothing gets billed until you say it's right. Every day, orders go out — some on our own trucks, some by UPS, some shipped directly from our vendors. Your job is to take each work order and delivery ticket and confirm that what was ordered is what actually shipped, at the right quantity, with the right serial and lot numbers captured, at the right price, with the documentation billing needs. When something doesn't line up, you're the person who catches it and chases it down. You do not need durable medical equipment experience. Our industry is genuinely unusual and we've found it's easier to teach the industry than to teach attention to detail. We will train and educate the right person. What we can't train is character — showing up, caring whether the numbers are right, and speaking up when something looks wrong. What you'll do Confirm work orders and delivery tickets against what was actually delivered Update quantities to reflect what shipped — including partials, substitutions, and returns Verify and record serial numbers and lot numbers accurately Check pricing on each order and flag discrepancies before they reach the customer or the payer Learn and apply our billing requirements so every confirmed order is clean and billable Track and confirm UPS shipments, including researching exceptions and non-deliveries Confirm drop-ship orders with vendors and follow up on anything unconfirmed Follow up with drivers, warehouse staff, and vendors to resolve missing or conflicting information Keep orders moving — escalate anything that's stuck rather than letting it sit Maintain accurate, audit-ready records Protect patient privacy and follow HIPAA requirements What we're looking for This is a role where character matters as much as the résumé. Required Genuine attention to detail — you notice when a number is off by one, and it bothers you Comfortable working with numbers, quantities, and pricing all day Reliable and consistent — this role only works if the person is here and current Willing to ask questions and push back when something doesn't look right, rather than guessing Solid computer skills and accurate data entry Clear, professional communication by phone and email with vendors, drivers, and coworkers Organized enough to juggle many open orders without losing track of any of them High school diploma or GED Helpful, but we will train Experience in order processing, shipping/receiving, inventory, billing, or a medical office Familiarity with serial and lot number tracking Experience tracking UPS or other carrier shipments Knowledge of durable medical equipment, medical terminology, or insurance billing Bilingual (English/Spanish) Who does well here You'd rather stop and verify than assume and move on An unresolved discrepancy nags at you until it's closed You're comfortable telling a vendor or a coworker "this doesn't match — can you check?"
