Monday - Friday, 8:00 AM - 5:00 PM + Over time On-Site Position Position Summary We are seeking an experienced and highly organized Fulfillment & Inventory Specialist to take an active role in the daily management of our warehouse, inventory, order fulfillment, and customer service operations. The ideal candidate will have hands-on experience in warehouse operations, inventory control, fulfillment, shipping, receiving, and customer service . This position requires someone who understands how a warehouse operates as a whole and can effectively coordinate between customers, warehouse personnel, dispatch, drivers, and third-party carriers. This is not simply an order-processing position. We are looking for someone who can take ownership of inventory organization and accuracy, identify operational problems, establish priorities, develop effective inventory strategies, and help improve warehouse processes and workflow and excellent customer service and communication skills, with the ability to professionally assist and communicate with customers in both English and Spanish. . The position will manage customer orders from receipt through final delivery while ensuring shipments are processed accurately, on time, and according to company procedures. Essential Duties & ResponsibilitiesInventory & Warehouse Operations Manage and monitor daily inventory and fulfillment activities. Maintain accurate inventory records and ensure physical inventory matches system records. Develop and implement effective inventory organization, control, and storage strategies . Organize warehouse inventory to maximize space, accessibility, accuracy, and operational efficiency. Coordinate inventory availability and order fulfillment with warehouse personnel. Perform and coordinate cycle counts and physical inventory counts. Research and resolve inventory discrepancies, missing products, incorrect quantities, and transaction errors. Review inventory transactions and make or coordinate necessary cycle-count adjustments. Identify inventory trends, recurring discrepancies, and operational issues and recommend solutions. Support receiving, picking, packing, staging, order verification, loading, and unloading based on daily operational needs. Help maintain an organized, efficient, and safe warehouse environment. Fulfillment & Shipping Receive, review, and process customer orders and shipping instructions. Coordinate inbound and outbound shipments with warehouse operations. Monitor orders from receipt through final delivery. Ensure orders are picked, verified, prepared, and shipped accurately and within required deadlines. Schedule pickups and deliveries with company drivers and external carriers. Coordinate with dispatch regarding delivery schedules and routing. Track shipments from origin through final delivery. Monitor daily shipment status and proactively address potential delays. Prioritize multiple orders, shipments, and deadlines based on operational and customer requirements. Customer Service & Coordination Serve as a primary point of contact for customers and dispatchers regarding orders, inventory, shipments, delivery status, and service requests. Provide professional and timely updates regarding order and shipment status. Proactively communicate delays, inventory shortages, discrepancies, or service issues. Resolve customer concerns and operational issues professionally and efficiently. Coordinate closely with customers, warehouse employees, dispatch, drivers, carriers, vendors, and internal departments. Maintain strong professional relationships with customers and business partners. Ensure customer requirements and applicable service-level expectations are met. Shipping Documentation & Systems Prepare and verify shipping documentation, including: Bills of Lading (BOL) Packing lists Shipping labels Delivery documentation Proofs of Delivery (PODs) Review and distribute PODs to customers in a timely manner. Assist drivers with documentation, delivery instructions, and customer communication when necessary. Maintain accurate inventory, order, shipment, and customer records. Enter and maintain information in the company's logistics systems. Prepare operational, inventory, and customer service reports as required. Work closely with Operations, Warehouse, Compliance, and Accounting to resolve discrepancies and operational issues. Qualifications Previous experience in warehouse operations, inventory management, fulfillment, logistics, or distribution is required . Experience managing or coordinating inventory in a warehouse environment. Strong understanding of receiving, inventory control, order fulfillment, shipping, and warehouse organization. Experience with freight documentation and shipping processes. Experience using inventory management or logistics software. Intermediate Microsoft Office skills, particularly Excel and Outlook . Excellent customer service and professional communication skills. Fluent in English and Spanish, both written and spoken. High school diploma required; Associate's or Bachelor's degree in Logistics, Supply Chain, Business Administration, or a related field preferred. Team-oriented and comfortable coordinating between office and warehouse personnel. Preferred Knowledge Freight forwarding operations. Warehousing and inventory management. Basic understanding of customs and international shipping. Physical Requirements Ability to work both in an office and warehouse environment. Ability to sit and work at a computer for extended periods. Ability to assist with receiving, picking, order verification, loading, and unloading when needed. Ability to lift up to 50 pounds. Ability to work in a fast-paced warehouse environment with multiple daily priorities.
