This position is responsible for tracking high-value jewelry from receipt through sale, return to vendor, transfer, or other disposition. The Inventory Control Specialist will maintain accurate records in The Edge , reconcile discrepancies, process incoming merchandise, manage vendor returns and memo inventory, monitor fast sellers, and support purchasing decisions. The ideal candidate is accountable, proactive, comfortable working with numbers and detailed records, and able to follow inventory issues through to resolution. Responsibilities Inventory Control Maintain accurate inventory records in The Edge . Track merchandise from receipt through sale, return, transfer, or other disposition. Maintain proper organization, labeling, and location tracking of merchandise. Perform routine cycle counts and participate in annual and/or biannual physical inventories. Research, document, and resolve inventory discrepancies. Resolve case-count discrepancies within 24 hours. Complete full-inventory discrepancy investigations and reconciliations within two weeks of the inventory count. Document the cause, resolution, and corrective action for each discrepancy. Escalate unresolved issues to management with clear documentation and recommended next steps. Identify recurring inventory-control issues and help implement corrective procedures. Merchandise Receiving and Check-In Receive and accurately check in incoming merchandise. Verify merchandise against vendor invoices, packing slips, purchase orders, and memo documentation. Confirm quantities, costs, vendor information, item details, and inventory classifications. Enter merchandise into The Edge before it is released to the sales floor. Scan invoices and supporting documentation into The Edge . Deliver original invoices and required paperwork to bookkeeper's inbox promptly. Communicate discrepancies involving pricing, quantities, missing or incorrect merchandise, or vendor documentation. Returns to Vendor Process Return to Vendor merchandise according to direction from the Buying Analyst and management. Prepare merchandise and documentation for vendor returns. Track returns through vendor receipt and completion of the appropriate credit, replacement, or inventory adjustment. Follow up on outstanding vendor credits and unresolved return items. Ensure returned merchandise is accurately reflected in The Edge . Fast-Seller Replenishment Monitor inventory to identify fast-selling and low-stock merchandise. Maintain an active fast-seller reorder list. Reorder approved fast sellers promptly to help prevent unnecessary stock-outs. Work with the Buying Analyst to determine reorder quantities and inventory levels. Monitor the performance of merchandise after replenishment. Communicate recurring sales trends to the Buying Analyst and management. Memo Inventory and Vendor Reporting Maintain accurate records of memo merchandise. Track memo merchandise from receipt through sale or return. Report memo sales to vendors promptly and according to vendor requirements. Coordinate reorders or replacements of successful memo merchandise when appropriate. Monitor memo aging and identify merchandise that should be returned, replaced, or converted. Assist with reconciling vendor memo statements against Whitestone's inventory records. Product Request Tracking Maintain a system for tracking customer and sales associate product requests. Track repeated requests for jewelry categories, styles, designers, vendors, price points, metals, gemstones, diamond shapes and sizes, watches, and other merchandise. Provide product-request information to the Buying Analyst to support purchasing opportunities. Follow up on requested products when merchandise is received so the appropriate sales associate can contact the customer. Buying Analyst Support Provide accurate inventory information to support purchasing and inventory decisions. Assist with identifying fast sellers, slow sellers, reorder opportunities, inventory shortages, over-inventoried categories, vendor trends, customer requests, memo performance, and aged inventory. Support vendor reviews, purchasing decisions, stock balancing, and inventory planning. Execute approved inventory actions and vendor returns based on recommendations from the Buying Analyst and management. Qualifications Previous experience in inventory control, inventory management, purchasing support, retail operations, administrative coordination, or a related field preferred. Jewelry, luxury retail, or high-value merchandise experience is a plus. Experience with inventory management software required; experience with The Edge preferred. Strong attention to detail and excellent organizational skills. Comfortable working with numbers, invoices, inventory reports, and detailed merchandise records. Ability to identify discrepancies, research their causes, and follow issues through to resolution. Ability to meet time-sensitive deadlines for receiving, discrepancy research, vendor reporting, and reorders. Strong written and verbal communication skills. Professional and comfortable communicating with vendors, management, sales associates, and team members. Able to recognize inventory patterns and trends. Proactive, dependable, and able to work independently. Trustworthy and comfortable handling high-value merchandise. Ability to maintain confidentiality and exercise sound judgment. Performance Expectations Success in this position will be measured by: Maintaining accurate physical inventory compared with The Edge . Receiving and entering merchandise and invoices accurately and promptly. Resolving case-count discrepancies within 24 hours. Completing full-inventory discrepancy investigations and reconciliations within two weeks. Clearly documenting discrepancy causes, resolutions, and corrective actions. Reordering proven sellers before unnecessary stock-outs occur. Processing vendor returns and reconciling credits in a timely manner. Reporting memo sales accurately and promptly. Scanning invoices into The Edge and delivering required paperwork to bookkeepers inbox on time. Accurately tracking customer and sales associate product requests. Completing physical inventories and cycle counts accurately. Communicating effectively with the Buying Analyst, management, sales associates, and vendors. Position Standard The Inventory Control Specialist is expected to take ownership of inventory accuracy. This role is more than receiving merchandise or entering invoices. The successful candidate will understand where merchandise is, why discrepancies occur, what needs to be reordered or returned, and what information the Buying Analyst and management need to make informed purchasing decisions. When discrepancies are identified, the Inventory Control Specialist must act promptly, complete case-count investigations within 24 hours, and complete full-inventory investigations and reconciliations within two weeks. Unresolved issues must be clearly documented and escalated rather than left open or unexplained. The goal of this position is to ensure Whitestone Fine Jewelry has the right inventory, accurately accounted for, in the right quantities, at the right time—while reducing inventory errors, missed reorders, unnecessary aged inventory, and lost sales opportunities.
