This position works closely with Accounting and Sales leadership to ensure inventory is accurately recorded, identify and resolve discrepancies, monitor inventory levels and aging, and analyze how sales trends are impacting inventory needs. The ideal candidate has strong accounting fundamentals, an analytical mindset, and the ability to turn inventory and sales data into useful information for leadership. Essential Responsibilities Maintain accurate accounting records for new and used vehicle inventory across all dealership locations. Process and reconcile dealership-to-dealership vehicle transfers. Verify VIN, stock number, cost, location, and inventory status for transferred units. Ensure transferred vehicles and associated costs are accurately recorded at both the originating and receiving dealerships. Reconcile inventory schedules, inter-store accounts, and General Ledger balances. Research missing, duplicate, incorrectly recorded, or incorrectly located inventory. Research inventory variances and follow discrepancies through final resolution. Monitor used vehicle inventory levels and aging across dealership locations. Analyze inventory in relation to sales volume, sales velocity, and historical sales trends. Identify slow-moving inventory, inventory concentrations, shortages, and locations where inventory may be outpacing sales. Help identify opportunities to move inventory between dealerships based on inventory levels and sales activity. Prepare weekly and monthly inventory reports for Accounting, Sales Managers, and leadership. Maintain inventory aging, transfer, variance, and inter-store reconciliation reporting. Track requested, approved, in-transit, and completed dealership transfers. Identify trends and provide leadership with clear information regarding inventory requiring attention. Prepare routine journal entries, corrections, and inventory adjustments as assigned. Assist with month-end inventory reconciliations and Accounting close. Cross-train and provide backup support for parts invoicing, warranty accounting, funding, reconciliations, and other transactional Accounting functions as needed. Qualifications High school diploma or equivalent required; Accounting, Finance, Business, or related education preferred. 2+ years of dealership accounting, vehicle inventory, inventory accounting, or related experience preferred. Automotive, powersports, RV, marine, or dealership experience strongly preferred. Experience with new and used vehicle inventory and dealership-to-dealership transfers preferred. Working knowledge of General Ledger accounts, reconciliations, journal entries, and basic debits and credits. Experience analyzing inventory and sales data preferred. Multi-location dealership or Accounting experience is a plus. Dealership management system experience preferred; Lightspeed experience is a plus. Intermediate Microsoft Excel skills, including PivotTables, lookups, formulas, filtering, and working with large data sets. Skills & Competencies Strong analytical and critical-thinking skills. Strong understanding of inventory movement, aging, and reconciliation. Ability to understand how sales activity impacts inventory levels and inventory needs. Strong Accounting and reconciliation skills. Ability to identify trends, patterns, and unusual inventory activity. Strong research and problem-solving abilities. Excellent attention to detail and accuracy. Ability to turn inventory and sales data into useful information for leadership. Strong follow-through and ownership of outstanding issues. Ability to communicate effectively with Accounting, Sales Managers, and dealership personnel. Ability to manage multiple dealership locations, priorities, and deadlines. Performance Expectations Success in this position includes accurate vehicle inventory accounting, timely and accurate dealership transfers, completion of inventory and inter-store reconciliations, reduction of inventory discrepancies, accurate reporting, and the ability to identify meaningful inventory and sales trends that support leadership decisions. Work Environment & Schedule This is a full-time, hourly position generally working Monday through Friday during normal business hours . The position works closely with Accounting, Sales leadership, and dealership personnel across multiple locations. Additional hours may occasionally be required during month-end, year-end, inventory periods, or other high-volume Accounting periods..
