Job Description

POSITION SUMMARY
The Aerospace International Shipping & Logistics Coordinator manages the flow of aerospace parts and materials through the warehouse, from inbound receipt and inspection through inventory control to outbound domestic and international shipment. This role ensures that inventory records in Pentagon remain accurate and current, that inbound shipments are verified and inspected against purchase order and certification requirements, and that outbound shipments — including international export shipments — are packaged, documented, and dispatched in compliance with company procedures and applicable shipping regulations. The Coordinator also supports day-to-day warehouse operations, safety, and organization, and works cross-functionally with Purchasing, Sales, and Operations to meet customer and program timelines.
KEY RESPONSIBILITIES
Warehouse Operations & Inventory Control Coordinate and oversee daily warehouse operations, including receiving, stocking, inventory organization, shipping, and material handling activities. Maintain accurate inventory records in Pentagon and support inventory control processes, including cycle counts, annual physical inventory audits, stock reconciliation, and bin/location organization, consistent with
SOP-WH-001.
Ensure proper storage, identification, traceability, and handling of aircraft parts, materials, and inventory items. Enter received stock into Pentagon the same day it is received, ensuring no item sits in the warehouse unentered. Identify inventory discrepancies, shortages, or misplaced parts and escalate to the Warehouse Lead or GM per entity procedure. Inbound Receiving & Inspection Receive and verify inbound shipments of aerospace parts against carrier manifests, purchase orders, and receiving documentation, consistent with
SOP-WH-002.
Photograph shipment condition on arrival and after unboxing, and inspect individual items for serial numbers, manufacture/expiry dates, physical condition, and match to the purchase order. Document certification and condition information on the packing list and Certificate of Conformance (COC) file; flag any discrepancy, damage, shortage, or certification mismatch as a Discrepancy Report and place the item on hold in Pentagon until resolved. Escalate vendor-side issues to Purchasing and carrier-side issues to the Warehouse Lead/GM, and clear holds once resolved. Outbound & International Shipping Coordinate outbound domestic and international shipments, including preparation of shipping documentation, export paperwork, packaging requirements, and carrier coordination. Ensure export shipments are packaged, labeled, and documented in accordance with company procedure and applicable export control and carrier requirements; escalate any export documentation question to management or Purchasing rather than generating certification or export paperwork independently. Track outbound shipments and proactively communicate delays or issues to Sales and Operations. Cross-Functional Support & General Duties Assist management with workload planning, task delegation, scheduling priorities, and warehouse workflow optimization. Monitor warehouse cleanliness, organization, safety practices, and operational efficiency. Work closely with Purchasing, Procurement, Sales, and Operations teams to ensure timely fulfillment of customer requirements and operational objectives. Operate warehouse equipment, including forklifts, and perform hands-on warehouse duties as necessary to support daily operations. Perform additional duties and responsibilities as assigned by management.
QUALIFICATIONS
High school diploma or equivalent required; associate degree or coursework in logistics, supply chain, or a related field preferred. 1-3+ years of experience in warehouse, shipping/receiving, or logistics coordination; aerospace, aviation, or defense industry experience strongly preferred. Experience with international/export shipping documentation (e.g., commercial invoices, packing lists, export paperwork) preferred. Working knowledge of inventory management systems; Pentagon 2000 experience a plus. Valid forklift certification required (or ability to obtain certification promptly upon hire). Strong attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced environment. Effective communicator able to work cross-functionally with Purchasing, Sales, Operations, and warehouse staff. Ability to lift/move materials as required by warehouse duties (see Physical Requirements).
PHYSICAL REQUIREMENTS & WORK ENVIRONMENT
Regularly required to stand, walk, bend, reach, and use warehouse equipment for extended periods. Ability to lift and move materials up to 50 lbs., with or without reasonable accommodation. Work is performed primarily in a warehouse environment; exposure to typical warehouse conditions (dust, temperature variation, machinery noise) should be expected.
