Logistics Office Coordinator•Shipping Documentation Position Overview We are currently seeking a detail-oriented Logistics Office Clerical Coordinator to support the Traffic and Operations Departments with shipping documentation, and logistics coordination. This is primarily an office-based clerical position focused on ensuring that all shipment documentation is accurate, complete, and submitted on time. This position is NOT a warehouse position. Must have knowledge of shipping documentation such as Airway Bills, Bill of Lading, Commercial Invoices and Packing List.

Open and maintain shipment files in a timely and accurate manner. Prepare and process documentation for outgoing international shipments. Assist with cargo release and ensure required documentation is completed. Prepare and file AES/EEI documentation. Prepare final shipping documents, including: Airway Bills Bills of Lading Commercial Invoices Packing Lists Export and destination-country documentation Enter and maintain accurate shipment information in internal systems. Prepare pricing matrices to support accurate shipment billing. Calculate insurance charges and prepare insurance certificates when required. Coordinate shipment bookings with airlines, ocean carriers, and other transportation providers. Scan, upload, organize, and electronically file shipment documentation. Coordinate third-party order pickups as requested. Monitor documentation deadlines and shipment cutoffs. Communicate with warehouse managers and supervisors to ensure documents are completed before shipment deadlines. Work closely with Operations, Accounts Receivable, warehouse personnel, carriers, and other internal departments. Assist the Operations Manager with administrative and logistics-related tasks supporting Central American clients. Required Skills & Qualifications Previous experience in logistics administration, shipping documentation, import/export, or transportation coordination preferred. Knowledge of shipping and international trade documentation is a plus. Familiarity with AES/EEI, Airway Bills, Bills of Lading, Commercial Invoices, and Packing Lists. Strong written and verbal communication skills in English. Proficiency with Microsoft Office, Outlook, Excel, and computerized filing systems.
