Back Office Manager Position Summary The Operations Planner translates customer forecasts, work orders, and operational priorities into daily, weekly, and medium-term plans that teams can execute. This role aligns labor, equipment, space, materials, and timing with anticipated workload across customer accounts. Working at the center of warehouse operations, account coordination, and management, the Operations Planner monitors actual results against the approved plan, identifies risks and variances early, and recommends practical corrective actions to keep work moving safely and efficiently. Responsibilities Operational Planning and Capacity Convert customer forecasts, work orders, and expected equipment volumes into workload and capacity requirements. Translate anticipated demand into labor hours, equipment needs, dock, yard, and warehouse capacity, and required timing. Develop and maintain a clearly documented operational plan that establishes the baseline for measuring execution. Identify anticipated labor, equipment, space, and material constraints early enough for management to respond. Coordinate the equipment, tools, and materials required to support the approved operational plan. Performance Analysis and Improvement Monitor plan attainment and compare forecasted, planned, and completed work. Analyze operational variances, identify root causes, and recommend corrective actions. Use historical forecast, plan, and execution data to improve workload assumptions, planning standards, resource estimates, and scheduling accuracy. Make routine scheduling adjustments within established operational guidelines and escalate changes with significant customer, cost, labor, safety, or capacity impact. Cross-Functional Coordination Serve as the primary planning connection among warehouse operations, account coordination, and management. Ensure customer requirements and operational constraints are reflected in the execution plan. Evaluate competing customer priorities and recommend sequencing based on contractual commitments, customer KPIs, operational constraints, and management priorities. Communicate planning assumptions, capacity risks, schedule changes, and material deviations clearly and promptly. Perform all responsibilities in accordance with company quality, environmental, health, and safety policies. Qualifications 3-5 years of experience in operations planning, production planning, logistics planning, warehouse operations, supply chain, or a comparable environment. Associate or bachelor's degree in logistics, supply chain, operations planning, or a related field. Demonstrated ability to translate forecasts and operational demand into workload, labor, and capacity requirements. Experience analyzing plan-versus-actual performance, identifying operational variances, and determining root causes. Strong Excel and data-analysis skills, with experience using ERP, WMS, and planning or reporting tools. Experience with Power BI or a similar data-visualization tool is preferred. Comfort using digital planning, analytics, and AI-supported tools to improve planning accuracy and operational decisions. Ability to manage competing priorities and perform effectively in a fast-paced environment. Strong organization, attention to detail, problem-solving, and communication skills.
