Job Description

Operations & Logistics Coordinator Position Summary The Operations & Logistics Coordinator is responsible for managing the day-to-day physical flow of products through the organization, including shipping, receiving, inventory control, warehouse organization, and logistics coordination. This is a hands-on role that requires active participation in warehouse activities while ensuring operational efficiency, inventory accuracy, and timely customer deliveries. The successful candidate will serve as the primary owner of warehouse operations and logistics processes and will work closely with Sales, Finance, Production, and Customer Service teams. Key Responsibilities Warehouse Management Maintain a clean, organized, and efficient warehouse environment. Ensure proper storage and handling of all products and materials. Monitor warehouse capacity and organization. Support workplace safety initiatives and compliance requirements. Shipping & Receiving Coordinate all incoming and outgoing shipments and inspect incoming goods for accuracy and quality. Prepare products for shipment, including packaging and labeling. Build, wrap, and secure pallets for domestic and international shipments for order and trade shows Coordinate pickups and deliveries with carriers. Inventory Management Maintain accurate inventory record by performing regular cycle counts and inventory audits. Investigate and resolve inventory discrepancies with the Finance Team Monitor stock levels and communicate replenishment needs to the Director Ensure all inventory transactions are properly recorded in the ERP system. Process unusual inventory movements and adjustments Logistics Coordination Obtain freight quotations and select cost-effective shipping options and get approval by the Director of Operations Track shipments and proactively address delivery issues. Coordinate international and domestic shipments, with our team In Germany and our Logistic company. Ensure compliance with shipping requirements and documentation. Accounting related tasks - support Process PO and Sales order for internal procurement Back up for invoicing clients Follow up on prepayment with clients Collaborate in collecting payments for commissioning mission Operational Support Collaborate with cross-functional teams to improve efficiency. Process RMA's processing between the support team and operations Help assemble Trade Kit shows and do some configuration Support the Director of sales in task related to the experience center Install the license in the hardware equipment before shipping. Qualifications 2+ years of experience in operations, administrative support, or related fields Experience with ERP systems (ODOO, Microsoft Dynamics 365 preferred) Excellent organizational skills and attention to detail Strong communication and interpersonal skills Proficiency with Microsoft Office Suite (Excel, Outlook, Word) Ability to manage multiple priorities and work both independently and collaboratively Comfortable performing light physical work (packing, organizing, or moving small equipment) Professional and approachable demeanor for client-facing interactions All qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
