Job Description

General Overview:
The Shipping & Logistics Coordinator is responsible for coordinating and controlling the administrative side of Judco's daily outbound shipping process. This position ensures that customer shipments are properly identified, routed, scheduled with the appropriate carrier or freight forwarder, documented, monitored through pickup, and escalated when necessary. The Coordinator serves as the administrative link between Shipping, Sales, Production, customers, carriers, and freight forwarders. Success requires exceptional organization, attention to detail, urgency, follow-through, and the ability to manage multiple shipments and customer-specific routing requirements simultaneously. The primary objective of this position is to ensure that no ready-to-ship customer order is missed because Judco failed to properly schedule, communicate, document, or follow up on the shipment. 2. Role and Responsibilities include, but not limited to:- Review the daily Shipping and Delivery Report and identify all customer orders scheduled to ship.
- Maintain a Daily Shipping Control Log documenting each shipment, routing method, carrier, required action, time contacted/submitted, confirmation information, pickup status, and final disposition.
- Verify scheduled shipments are ready, properly staged, labeled, and available for pickup.
- Coordinate shipments according to customer-specific routing requirements, including carrier calls, emails, freight forwarders, customer portals, and other required methods.
- Schedule carrier pickups and maintain confirmation numbers, emails, portal confirmations, and other supporting documentation.
- Maintain and follow Judco's Customer Shipping/Routing Matrix, including carriers, contacts, portals, lead times, cutoff times, documentation, and special instructions.
- Coordinate expedited, overnight, pull-forward, and other special shipping requirements as directed.
- Monitor scheduled pickups throughout the day and proactively follow up when carriers have not arrived as expected.
- Escalate potential missed shipments early enough for alternative arrangements to be considered and immediately communicate issues affecting on-time shipment.
- Maintain documentation of carrier no-shows, customer routing delays, and other circumstances outside Judco's control to support or dispute premium-freight charges.
- At the end of each day, verify that every ready-to-ship order has either been picked up or has a documented reason, disposition, and appropriate notification.
- Review upcoming shipments to identify special routing, freight, appointment, expedited, or customer requirements in advance.
- Assist with preparation and verification of AIAG labels, shipping labels, packing slips, bills of lading, and other shipping documentation.
- Verify shipment information for accuracy, including customer, ship-to location, part number, quantity, carrier, shipping method, and special instructions.
- Communicate proactively with Sales, Production, Quality, and other departments regarding shipment readiness, shortages, holds, delays, or other issues.
- Maintain accurate and organized shipping records and provide backup support to Shipping & Receiving as needed.

- High school diploma or equivalent required; additional education or training in logistics, supply chain, business administration, or a related field preferred.
- Experience in shipping, logistics, transportation coordination, customer service, order management, or a high-volume, fast-paced administrative environment preferred.
- Highly organized and detail-oriented, with the ability to manage numerous shipments, priorities, and deadlines simultaneously.
- Strong written and verbal communication and problem-solving skills.
- Proficient with Microsoft Outlook, Word, and Excel; experience with ERP systems, customer portals, carrier websites, or shipping systems preferred.
- Strong follow-through with the ability to identify open issues and drive them through resolution.
- Dependable, proactive, professional, and able to work effectively across departments.
- Manufacturing experience helpful but not required. Judco Expectations
- Strong sense of urgency, organization, attention to detail, communication, problem-solving, critical thinking, follow-through, multitasking, and ownership.
- The Coordinator must maintain visibility of the entire daily shipping schedule rather than becoming focused on only individual shipments. A shipment is not considered complete simply because the product has been staged or a carrier has been contacted. Each ready-to-ship order must be followed through to documented carrier scheduling and pickup, or documented exception and escalation.
- The employee is expected to communicate proactively, identify potential problems before they become missed shipments, take ownership of issues, work collaboratively, and drive problems through resolution.
Shift:
From 7:30 am to 4:00 pm Normal Work Week 1stShift:
From Monday to Friday- Standard hours to be established based on Shipping & Receiving requirements.
- The employee must be available through the department's normal daily shipping cutoff and escalation period.
- Additional hours or overtime may occasionally be required based on business needs and must be worked and compensated in accordance with company policy and applicable law.
