Position Summary Axcess Aviation Services is seeking a Flight Coordinator to support daily flight operations, including charter quoting, sales support, and procurement of charter broker trips as needed. This role supports the full lifecycle of a trip — from initial client inquiry and quoting through scheduling and execution, to post-flight closeout — and plays a critical role in delivering exceptional customer service. The ideal candidate is highly organized, communicates clearly and efficiently, and can multitask, problem-solve, and adapt quickly in a fast-paced aviation environment. This position requires sound judgment, attention to detail, and a calm, professional demeanor when managing time-sensitive or high-pressure situations. Key Responsibilities Charter Quoting, Sales Support & Broker Trip Procurement Prepare and issue charter quotes in accordance with company pricing guidelines and approved rate structures Gather complete trip details including routing, dates, passenger counts, & special requirements Coordinate w/ Charter Coordinator & operations leadership to confirm aircraft availability & pricing Source and procure charter broker trips when required, including obtaining pricing, availability, and documentation from third-party operators Evaluate broker trip options for operational feasibility, safety considerations, and customer needs Update and revise quotes promptly based on client requests or operational changes Assist with converting quotes into confirmed trips and executed charter agreements Flight & Trip Coordination Assist with scheduling and coordinating Part 135 and Part 91 flights Create, update, and manage trips in the company's flight operations software Coordinate aircraft, crew assignments, and trip logistics Monitor trips and provide day-of-flight support, including handling last-minute changes Crew & Operations Support Communicate trip details, changes, and updates to flight crews clearly and efficiently Assist with crew logistics including hotels, ground transportation, and catering Support compliance with duty and flight time limitations Coordinate w/ maintenance & operations leadership regarding aircraft availability or changes Customer Service & Communication Serve as a primary point of contact for clients, brokers, and internal stakeholders Deliver exceptional customer service through timely, professional, and clear communication Proactively manage client expectations and resolve issues with urgency and professionalism Communicate quickly and effectively in dynamic situations, ensuring all parties remain informed Administrative & Reporting Support Assist with trip documentation, invoicing support, and post-trip closeout Maintain accurate and complete records in operational systems Support the Charter Coordinator, Director of Operations, and operations team with ad-hoc tasks as needed Required Qualifications Strong ability to multitask, prioritize, and problem-solve in a fast-paced environment High attention to detail and accuracy, particularly with pricing and trip details Ability to communicate quickly, clearly, and efficiently under time pressure Team-oriented with the ability to work independently Professional phone, email, and client-facing skills Proficiency with Microsoft Office and cloud-based tools Preferred Qualifications Prior experience in aviation operations, charter coordination, quoting, or brokerage Familiarity with Part 135 charter operations and terminology Experience with flight operations and quoting software (e.g., Avianis or similar) Aviation background or strong interest in private aviation EEO Moyer Aviation provides equal employment opportunities (EEO) to all employees and applicants for employment without regard to race, color, religion, sex, national origin, age, disability, or genetics.
