Full-time Earthbound Expeditions is seeking an organized, detail-oriented International Travel Program Manager to plan and manage customized international group travel programs from initial development through departure. This role is responsible for coordinating hotels, guides, transportation providers, restaurants, cultural institutions, and other local vendors while ensuring each program is properly contracted, confirmed, costed, documented, and ready to operate. The ideal candidate is highly organized, comfortable managing many moving pieces at once, and confident communicating with vendors around the world. Responsibilities Plan and develop multi-day international travel programs in collaboration with Earthbound leadership, destination partners, and host organizations Research and coordinate hotels, local guides, motorcoaches, restaurants, museums, cultural venues, activities, and other program services Serve as the primary point of contact for vendors throughout the planning process Request and evaluate proposals, availability, and pricing from hotels and suppliers Negotiate rates, terms, inclusions, cancellation policies, room allocations, and other contract details Review hotel and vendor contracts for accuracy before approval Track deposits, payment deadlines, cancellation deadlines, room-reduction dates, and other contractual obligations Maintain accurate records of all confirmed services, contracts, confirmations, and vendor communications Manage each booking through its operational stages, from initial request through final confirmation Ensure all itinerary components are properly booked and identify outstanding or unconfirmed services Maintain program budgets and assist with trip costing and financial projections Review vendor pricing and monitor programs for changes that may affect overall trip profitability Coordinate room blocks, rooming lists, transportation schedules, meal arrangements, admissions, and special activities Communicate regularly with local guides and destination partners regarding program logistics Prepare detailed operational information for guides, tour managers, and internal staff Work closely with guest services and other team members to ensure traveler information is reflected accurately in program arrangements Manage program changes, cancellations, schedule adjustments, and vendor-related issues as they arise Maintain program timelines, tasks, deadlines, and follow-ups to ensure nothing is missed Organize and maintain contracts, confirmations, itineraries, vendor records, and other trip documentation Participate in regular internal operations meetings and provide updates on program status, deadlines, risks, and outstanding items Support the continued improvement of internal systems, workflows, automations, and program-management processes Program Ownership Each Program Manager will be expected to take ownership of a portfolio of international programs. For each assigned trip, the Program Manager is responsible for knowing: What has been booked What still needs to be booked Which vendors have been contacted Which services are confirmed Upcoming payment deadlines Cancellation and room-reduction deadlines Outstanding contracts or confirmations Program costs and major budget changes Tasks requiring follow-up Potential operational risks or issues Program Managers should be able to independently move a trip from the planning stage through final operational readiness while keeping management informed of significant decisions, risks, or financial changes. Qualifications 2+ years of experience Strong organizational and project-management skills Excellent written and verbal communication Ability to manage multiple international programs and deadlines simultaneously High attention to detail Strong follow-through and ability to maintain accurate records Comfortable communicating and negotiating with hotels, guides, transportation companies, and international vendors Ability to read and interpret contracts, cancellation terms, payment schedules, and pricing proposals Strong problem-solving skills and ability to adapt when plans change Comfortable working with spreadsheets, CRM systems, cloud-based file storage, and project-management software Ability to work both independently and collaboratively International travel, tourism, hospitality, event planning, operations, or project-management experience preferred Preferred Experience Experience with group travel, tour operations, hospitality, destination management, or international events Experience negotiating hotel or vendor contracts Experience managing budgets or program costing Familiarity with rooming lists, group hotel blocks, motorcoach arrangements, and group dining Experience using CRM or project-management systems Experience coordinating multiple vendors across different countries and time zones What Success Looks Like A successful Program Manager is someone who can look at a trip several months before departure and immediately understand what is confirmed, what is outstanding, what deadlines are approaching, and what needs attention. They communicate proactively, maintain strong relationships with vendors, keep program costs under control, and ensure that the operational details behind each Earthbound Expeditions journey are organized well before guests arrive
