EQUIPMENT & LOGISTICS COORDINATOR JOB DESCRIPTION
Position Summary The Equipment & Logistics Coordinator plans and tracks Bear Contracting's equipment moves, trucking dispatch, timecards, rentals, permits, and asset locations so the right equipment reaches each project when needed. The position coordinates with field supervisors, project managers, drivers, the shop, and management. Essential Duties & Responsibilities Equipment Dispatch & Scheduling
- Coordinate equipment moves among projects, the shop, and company yards.
- Dispatch heavy haul trucks, dump trucks, rollback trucks, drivers, field mechanics, and move-support personnel.
- Prepare and distribute daily schedules and a rolling two-week equipment look-ahead.
- Resolve scheduling conflicts and communicate changes to affected personnel.
- Coordinate asphalt truck assignments and alternate hauling when the truck is not needed by the paving division. Transportation Permits
- Obtain required oversized and overweight hauling permits.
- Maintain permit and move records. Asset Location & Condition Tracking
- Maintain current equipment locations, availability, and project assignments in company asset systems.
- Coordinate equipment check-in and check-out inspections.
- Record damage, cleanliness, fluid-level concerns, and repair needs; route maintenance items to the Shop Manager.
- Reconcile equipment in company yards with asset records. Rental Equipment
- Obtain and compare rental quotes.
- Coordinate rental orders, deliveries, transfers, and returns.
- Track each rental's location, project assignment, and expected return date.
- Inspect rental condition and fluid levels before return.
- Return equipment promptly when no longer needed. Fuel & Liquid Tack
- Coordinate fuel deliveries to the shop and company yards.
- Coordinate liquid tack orders, deliveries, and returns. Reporting & Controls
- Prepare weekly equipment movement, rental, and availability reports.
- Escalate equipment shortages, move constraints, rental delays, and unresolved conflicts.
- Report back on the results of the two-week lookahead, schedules, and last-minute needs that occurred.
- Coordinate and Document vehicle inspection
- Document Fleet Management for insurance reporting.
- Evaluate equipment values for insurance auditing. Qualifications Required
- Experience in construction equipment coordination, trucking dispatch, fleet operations, or project logistics.
- Working knowledge of heavy equipment, trucks, trailers, and construction jobsite requirements.
- Ability to manage changing priorities and maintain accurate schedules and records.
- Strong communication and follow-through skills.
- Takes pride in performing high level documentation and record keeping Preferred
- Commercial Driver's License (CDL) or familiarity with commercial vehicle operations.
- Knowledge of oversized and overweight permitting requirements.
- Experience with E360, HCSS, Asset Tiger, or comparable dispatch and asset tracking systems.
- Heavy civil, utility, asphalt, or highway construction experience.
