Fried Music is a classical music school located in the heart of Alhambra, dedicated to providing exceptional music education and fostering a deep appreciation for classical music. We offer private lessons and group classes in various instruments, as well as dedicated practice programs and intensives. Our goal is to create an inspiring, supportive environment where students can thrive musically and creatively.
Position Overview:
We are seeking a dependable and organized Operations Coordinator to support the day-to-day administrative needs of our school. This position works closely with our Business Owners and manages the Operations Assistant to help ensure that students, families, and teachers receive timely and professional support. This is an excellent opportunity for someone who enjoys organization, customer service, and administrative work. While an interest in music is appreciated, no advanced musical background is required. We're a small team, so flexibility, reliability, and a willingness to help wherever needed are highly valued!
Key Responsibilities:
Invoicing & Billing:
Edit monthly invoices to families as needed for lesson changes, classes, and other services provided by the school. Assist in tracking payments and addressing any billing inquiries or discrepancies. Help maintain accurate student account records.
Enrollment & Scheduling Management:
Keep track of student enrollment in lessons and classes, ensuring that all records are up-to-date and accurate. Manage lesson scheduling changes, cancellations, and credits for students, ensuring a smooth and efficient experience for families.
Communication & Customer Service:
Provide administrative assistance to email and phone inquiries such as lead management, scheduling, invoice adjustments, and general school information. Assist with lead management and new student inquiries. Communicate updates clearly with staff to help ensure smooth operations. Provide friendly and professional support to students and families Help coordinate scheduling needs between families, teachers, and staff. Manage tasks for
Operations Assistant Marketing & Graphics:
Operate official Fried Music website, make updates to program language Edit promotional graphics for events, programs, and general Fried Music information
Required Qualifications:
Strong organizational skills. Excellent written and verbal communication skills. Knowledge or interest in classical music is a plus. Proficient in Microsoft Office Suite (Excel, Word, etc.), Google Workspace, and basic knowledge of invoicing and payroll software. Ability to handle sensitive information with discretion. Ability to manage multiple tasks and follow through on assignments. Professional, dependable, and customer-service oriented.
Preferred but not required:
Mandarin speaker Classical music education background, either through private lessons or a formal education Prior experience in administrative roles, preferably in a music school or similar educational setting.
Schedule :
We are primarily seeking someone available on four weekdays and at least one weekend day for 8 hour shifts. 40 hours per week. Additional opportunities may be available for candidates interested in assisting with occasional concerts and special events throughout the year.
