We are building something special, an organization known for exceptional care, outstanding customer service, and a workplace where employees truly feel valued. We're looking for an Operations Manager who wants more than just a job. This is an opportunity to become the operational leader of a growing healthcare company and work directly alongside the owners to build one of the premier home care agencies in Northern California. Position Summary The Operations Manager serves as the operational backbone of our agency and works directly with the owners to oversee day-to-day business operations. This is a high-impact position requiring someone who enjoys variety, solving problems, helping people, and taking ownership. Every day is different. One hour you may be assisting a family seeking care, the next interviewing caregivers, coordinating schedules, meeting a client in the field, or ensuring our office is running smoothly. The ideal candidate is highly organized, dependable, compassionate, technology savvy, and comfortable making decisions independently. This position will begin as a part-time role and is expected to transition into a full-time leadership position as our client base and team continue to grow. What You'll Do Office Operations Manage daily office operations Answer incoming calls and assist prospective clients Welcome visitors and caregivers Maintain office organization and supplies Coordinate calendars and appointments Process paperwork and documentation Ensure compliance with agency procedures Client Care Speak with families seeking home care Help coordinate care starts Assist with client onboarding Conduct quality assurance follow-up calls Build positive relationships with clients and families Serve as a trusted resource for ongoing client needs Caregiver Operations Interview caregiver applicants Assist with hiring and onboarding Support orientation and training Coordinate caregiver scheduling Help resolve shift coverage issues Coach and support caregivers Conduct supervisory visits as needed Clinical & Field Support After training and as permitted by company policy: Perform client assessments and reassessments Conduct supervisory visits Visit clients in their homes Provide occasional caregiver coverage when needed Support emergency staffing situations Represent the company professionally in the community Administrative & Technology Utilize WellSky, Apploi, Zoho CRM, Microsoft 365, Outlook, Teams, and other business systems Maintain accurate documentation Track leads and referrals Generate reports Coordinate communication between clients, caregivers, referral partners, and ownership Help improve business processes and workflows Leadership Work directly with the owners to help build the business. You'll become the primary operational leader responsible for keeping everything running efficiently while delivering an exceptional experience for our clients and caregivers.
