Job Description:
Key Responsibilities Ensure seamless day-to-day operations across multiple office locations by coordinating with Facilities, Security, IT, Workplace Services, business teams, and external vendors. Manage equipment requests, order submissions, shipment tracking, loaner device distribution, and asset accountability processes. Maintain office inventory, including supplies, snacks, beverages, and workplace essentials. Coordinate conference room readiness, room maintenance, and AV support requests. Submit and manage facilities service tickets and monitor office spaces to ensure operational standards are maintained. Conduct routine office walkthroughs and collaborate with building management on workplace improvements. Maintain seating charts and support office move activities, relocations, and workspace planning initiatives. Assist with event logistics, catering coordination, visitor management, and additional operational projects as needed. Partner with cross-functional stakeholders to resolve issues quickly and ensure a positive workplace experience. Support multiple concurrent projects while adapting to changing business priorities. Requirements 7-10 years of experience as an Operations Coordinator or in a similar administrative, workplace, facilities, or operations-focused role. Experience managing vendor relationships and working with cross-functional stakeholders. Experience overseeing equipment tracking, inventory control, order management, shipment coordination, or asset accountability processes. Experience supporting facilities operations, workplace services, office relocations, or space planning initiatives. Proven ability to independently manage multiple priorities in a fast-paced environment. Experience coordinating operational projects with minimal supervision. Preferred Qualifications Experience using asset management platforms such as Oomnitza or similar inventory tracking systems. Experience supporting large corporate office environments. Background supporting workplace experience, employee services, or corporate operations teams. Experience assisting with event coordination, catering logistics, or executive support initiatives. Familiarity with office move planning and occupancy management programs. Skills Excellent written and verbal communication skills. Strong organizational and time management abilities. Exceptional attention to detail and accuracy. Sound judgment, professionalism, and discretion when handling sensitive matters. Strong problem-solving and critical-thinking capabilities. Ability to prioritize competing demands and adapt to changing business needs. Ability to work autonomously while maintaining a high degree of accountability. Proficiency with productivity tools including Calendar, Pages, Numbers, and Keynote. Experience utilizing collaboration tools such as Slack. Ability to develop and maintain tracking systems for operational activities and inventory. Education High school diploma or equivalent required. Associate's degree or Bachelor's degree in Business Administration, Operations Management, Hospitality, Communications, or a related field preferred. #LI-LH1 #INDPRO
