If you've ever been described as someone's right hand , we want to meet you. Beautific Studios is a growing tattoo and education studio in Newport Beach looking for a Business Operations Manager to work directly alongside our founder and take ownership of the operational side of the business. This is not a traditional administrative assistant, receptionist, or front-desk position. We're looking for an operator — someone who can manage people, priorities, systems, numbers, projects, client experience, and follow-through so that everything doesn't have to run through the owner. Why We're Hiring Beautific Studios has grown significantly since opening in 2019. Today, our business includes a growing team of tattoo artists and apprentices, client services, education and training programs, workshops, marketing initiatives, and all of the moving pieces that come with a growing creative company. We've reached the point where our founder cannot — and should not — be the person every decision, follow-up, project, and problem runs through. That's where you come in. We're looking for someone who can help turn moving pieces into systems, ideas into execution, and expectations into accountability. Your job isn't simply to maintain what already exists. You'll help us build the operational structure Beautific needs for its next stage of growth. What You'll Own You'll work closely with the founder while taking increasing ownership of areas including: Day-to-day business and studio operations Team management, communication, scheduling, and accountability Weekly priorities, deadlines, projects, and follow-through Client inquiries, follow-ups, booking workflows, and escalations Reviewing tattoo inquiries and reference images, assisting with quotes, and helping match clients with the appropriate artist Learning our tattoo services, pricing, sizing, placement considerations, artist specialties, and booking processes so you can confidently support clients Hiring, onboarding, offboarding, and team documentation Training programs, workshops, consultations, students, and related operations Inventory, purchasing, supplies, and vendor coordination Payroll preparation, commissions, expenses, and recurring financial administration Business KPIs, reporting, and performance tracking Operational calendars, meetings, events, launches, and deadlines Creating, maintaining, and improving SOPs and internal systems Identifying bottlenecks, recurring problems, and inefficiencies — and improving them Coordinating projects across artists, administration, training, marketing, and the founder Most importantly, you'll be responsible for making sure things actually get finished. If a deadline is approaching, you already know. If someone hasn't completed something, you follow up. If something repeatedly falls through the cracks, you create a better system. If there's a problem within your authority, you solve it. And when something genuinely requires the founder's decision, you gather the relevant information and come prepared with a recommendation — not just another problem for them to solve. You're proactive, resourceful, organized, direct, and extremely dependable. You enjoy being the person who knows what's going on. You're comfortable holding people accountable and having direct conversations when expectations aren't being met. You can zoom out and think strategically, then zoom back in and make sure the details actually happen. You don't need someone constantly checking whether you've completed something. You're comfortable communicating with clients and can balance warmth and professionalism with efficiency. You're curious, learn quickly, and enjoy becoming knowledgeable enough about a business to confidently answer questions and make decisions. And you're excited by the idea of working directly with an entrepreneur and having a meaningful impact on how a growing company operates. This Probably Isn't the Right Role If… You prefer receiving a detailed task list every day You need frequent direction to determine what to work on next Following up with coworkers or holding people accountable makes you uncomfortable You identify problems but tend to wait for someone else to determine the solution You struggle to prioritize when several things need attention at once Rapidly changing priorities are difficult for you You don't enjoy interacting with clients You're primarily looking for a receptionist, front-desk, or traditional administrative assistant position What Success Looks Like Within your first several months, we should see: Fewer routine problems requiring the founder's involvement Stronger accountability and follow-through across the team Clear ownership of recurring responsibilities Fewer missed deadlines and things falling through the cracks Better systems and documented processes Client inquiries and follow-ups being handled consistently and efficiently Strong understanding of our tattoo quoting and booking process Clear visibility into important business numbers and performance Faster resolution of team and client issues A studio that operates smoothly even when the founder isn't physically present Ultimately, you'll know you're succeeding when the founder is spending less time chasing tasks, answering routine questions, managing small problems, and putting out fires — and more time focused on growth, marketing, creative direction, tattooing, education, and the future of Beautific Studios. What We're Looking For Previous experience in operations, management, project management, or helping run a small business is strongly preferred. We're especially interested in candidates who have: Managed or supervised a team Worked directly with a founder, owner, or senior leader Managed multiple projects and priorities simultaneously Built or improved systems and processes Worked with KPIs, spreadsheets, reporting, and business software Demonstrated strong judgment and independent problem-solving Managed client or customer communication in a service-based business Experience working in a fast-moving environment where priorities can change Tattoo industry experience is not required — we'll teach you the tattoo-specific knowledge you need. However, a genuine interest in tattoos, art, beauty, or creative industries is a big plus. Part of this role involves communicating with tattoo clients, reviewing reference images, assisting with quotes, understanding sizing and placement, and helping match inquiries with the appropriate artist. You don't need to know how to do this on day one, but you should be excited to learn the industry and develop a strong understanding of our services. Experience in beauty, wellness, med spas, salons, hospitality, education, healthcare practices, agencies, or other appointment/service-based businesses can also be valuable. Ultimately, we're hiring for how you think, lead, organize, communicate, and execute.
