We are seeking a highly organized, relational, and mission‑aligned Volunteer & Operations Administrator to support daily operations and lead volunteer engagement across the organization. This role is perfect for someone who loves building relationships, thrives in a dynamic environment, and brings both administrative excellence and heartfelt care to their work. Key Responsibilities Volunteer Leadership & Community Engagement Recruit, onboard, and support volunteers across all programs. Prepare and deliver volunteer orientations that equip volunteers with clarity and confidence. Travel to churches, universities, and community locations to speak, host booths, and represent The GreenHouse. Maintain volunteer schedules, communicate assignments, and ensure coverage for programs and events. Build strong relationships with volunteers; support retention through encouragement and care. Coordinate volunteer teams for major events (Graduation, Pumpkin Patch, Christmas Partners, etc.). Operational & Administrative Support Maintain office systems, supplies, and workflows to support smooth daily operations. Lead mass mailings and manage USPS nonprofit mailing processes. Maintain accurate volunteer and donor records in the CRM. Draft letters, reports, presentations, and internal communications. Support organization‑wide newsletters, announcements, and communication. Executive & Organizational Support Provide administrative support to the Executive Director, including email management, scheduling, meeting preparation, and project coordination. Prepare meeting materials, take minutes, and track follow‑through. Support relationships with partner organizations, churches, and vendors. Qualifications Bachelor's degree in Business Administration, Communications, Nonprofit Management, or related field preferred; equivalent experience considered. 2+ years of administrative, volunteer coordination, or nonprofit experience, ideally in a faith‑based or youth‑serving organization. Strong communication, organization, and relational skills. Ability to manage multiple priorities with warmth, accuracy, and grace. Alignment with The GreenHouse's mission, values, and faith‑based culture. Experience with scheduling, email management, and CRM systems. Employment Requirements Successful completion of background check and fingerprinting. Legal authorization to work in the U.S. Completion of mandated reporter training within 90 days (renewal required). Preferred experience in roles requiring mandated reporting (youth services, education, ministry, etc.).
