Full-Time Position Summary The Wine Club Coordinator delivers an exceptional member experience while supporting the daily operations, retention, and growth of the wine club, handling communications, administration, shipments, reporting, and acquisition initiatives. The ideal candidate is organized, detail-oriented, and passionate about hospitality, thriving in a fast-paced environment that reflects Bricoleur Vineyards' luxury standard of service. Key Responsibilities Membership Growth- Support on-site tasting room conversion by training and incentivizing TR associates to close sign-ups at the point of sale.
- Support off-site acquisition efforts, including pop-ups, in-home tasting events, and corporate partnerships.
- Assist with growing the referral program and tracking its performance.
- Help build out a partner perks program, sourcing partners and promoting it to members as both an acquisition and retention tool. Administration & Retention
- Manage day-to-day club administration: new memberships, upgrades, cancellations, billing, and account maintenance, ensuring accurate member records.
- Coordinate seasonal shipments end-to-end , planning, member communications, shipping holds/redirects, and compliance, in partnership with inventory, fulfillment, and hospitality teams.
- Serve as primary member contact (phone, email, text, in-person), resolving questions and welcoming members at the winery.
- Build member relationships through proactive outreach, milestone recognition, and referral follow-up.
- Help plan and execute pickup parties, member events, and winery experiences, including setup and post-event follow-up.
- Partner with marketing on club emails, promotions, and communications; review for accuracy on benefits, pricing, and shipping details.
- Track membership growth, retention, cancellations, and shipment metrics; recommend process improvements.
- Maintain SOPs and organized digital records; support special projects as assigned. Qualifications
- 2-4 years in hospitality, customer service, wine club ops, sales support, or admin coordination; luxury/wine industry experience a plus.
- College degree preferred, not required.
- Warm, friendly personality with a proven track record of delivering high levels of customer service and satisfaction, both internally and externally.
- Strong written/verbal communication and organizational skills; proficient in MS Word/Excel.
- Able to multitask under deadlines, work independently, and problem-solve.
- Able to stand/walk/sit for extended periods and lift up to 40 lbs.
- Availability for weekends, evenings, and some holidays required.
