36+ Full Time Position Summary Amara Massage Therapy & Wellness is seeking an experienced, personable, and highly organized Front Desk & Guest Experience Manager to oversee daily front desk operations, support and coach the front desk team, strengthen client retention and retail sales, and coordinate Amara's ongoing social media presence. This is a hands-on management position. The right person will be equally comfortable leading employees, helping clients, reviewing operational details, creating engaging content, and stepping into front desk coverage when needed. This person will serve as a manager on duty and participate in a clearly defined rotating on-call schedule. The ideal candidate combines warmth and professionalism with strong follow-through, sound judgment, attention to detail, and the ability to hold others accountable. Schedule 36-40+ hours weekly Tuesday-Saturday, business hours are 8 am- 9 pm, you will be assigned an 7-8 hour shift each day. Opening shifts start at 8 am. Closing shifts end at 9-9:30 pm and are the bulk of this position. As a manager you would also be asked to be on call as needed. Primary Areas of ResponsibilityFront Desk Management and Administration — approximately 10 hours per week Manage the day-to-day functioning of Amara's front desk. Create and maintain the front desk schedule. Train, coach, and support front desk associates. Establish clear expectations and ensure consistent adherence to front desk procedures. Review front desk records, transactions, closing procedures, scheduling activity, and other operational reports for accuracy. Identify errors, inconsistencies, or recurring problems and follow through on corrections. Maintain and update front desk checklists, scripts, procedures, and training materials. Maintain retail inventory counts and delegate merchandising. Lead or participate in regular front desk meetings. Communicate relevant concerns and trends to the general manager and owner. Help improve systems so that the front desk operates efficiently and consistently. Manager-on-Duty and Coverage Responsibilities Serve as a manager on duty during assigned shifts. Participate in a rotating, clearly scheduled on-call system. Respond to urgent operational questions and coverage issues during assigned on-call periods. Provide front desk coverage when an associate calls out and other coverage cannot reasonably be arranged. Help coordinate appointment changes and client communication during staffing disruptions. Use sound judgment to resolve client concerns within established authority. Escalate significant employee, safety, facility, or client matters appropriately. Document incidents and important management decisions clearly and promptly. Guest Experience, Retention, and Sales Create a warm, polished, and welcoming experience for every client. Model confident, ethical, and non-pressuring sales practices and train or coach front desk associates on sales opportunities. Educate clients about services, enhancements, packages, memberships, gift cards, and retail products. Coach front desk associates in client communication, rebooking, retention, and sales. Monitor relevant sales, rebooking, retention, and client-service indicators. Identify opportunities to improve the client journey. Respond professionally to client concerns and assist with service recovery. Build collaborative relationships with the hotel and neighboring businesses while accurately representing Amara as an independent, woman-owned business. Support seasonal promotions, events, gift-card campaigns, and other revenue initiatives. Social Media and Marketing — approximately 10 hours per week Maintain a consistent, professional, and engaging social media presence that reflects Amara's brand and values. Create and schedule posts, short-form video, stories, educational content, employee features, service highlights, and promotional content. Maintain a practical monthly content calendar. Increase Amara's following by engaging with relevant content and following relevant accounts. Coordinate content with therapists, management, community partners, and neighboring businesses. Respond appropriately to comments and messages or route them to the correct person. Support recruitment, client education, community engagement, and sales through social media. Track basic performance metrics and recommend adjustments. Ensure content is accurate, inclusive, accessible, and consistent with Amara's science-based approach. Obtain appropriate consent before using employee or client images, stories, or testimonials. Leadership Expectations Communicate directly, respectfully, and professionally. Address problems promptly rather than allowing them to accumulate. Receive feedback without becoming defensive and provide feedback constructively. Maintain confidentiality regarding employees, clients, and business operations. Distinguish between appropriate management communication and workplace gossip, and directing gossipers to message management with their concerns. Apply policies consistently and avoid making assumptions or spreading unverified information. Remain calm and solution-focused during call-outs, scheduling problems, client complaints, and facility concerns. Follow through on commitments and communicate early when something cannot be completed. Reminding staff to check Discord for information relevant to their question. Prompting front desk associates to update and utilize sidewalk chalkboard to reflect current openings, promotions, or special information. Required Qualifications Previous Supervisory or Management experience. Demonstrated customer-service and sales experience. Experience creating business-related social media content. Experience scheduling, training, or overseeing employees. Strong written and verbal communication skills. Excellent organization and attention to detail. Comfort reviewing transactions, reports, checklists, and operational records. Ability to manage competing priorities without losing follow-through. Ability to work independently while remaining accountable to senior management. Availability for some evenings, weekends, and scheduled on-call periods. Ability to provide on-site coverage during assigned periods when needed. Sound judgment and professional discretion. Preferred Qualifications Experience in massage therapy, wellness, hospitality, healthcare, retail, or another appointment-based service business. Experience with Mindbody or comparable scheduling software. Familiarity with Canva and social media scheduling tools. Experience managing customer complaints and service recovery. Experience tracking sales, retention, rebooking, or marketing performance. Interest in improving operational systems and supporting future business growth. What Success Looks Like Within the first six months, this person should be able to: Run front desk operations with limited supervision. Produce an accurate and dependable Front Desk schedule. Maintain consistent completion of Front Desk procedures. Reduce the amount of routine Front Desk Coverage falling to Marcus. Improve consistency in Front Desk sales and Client Communication. Maintain a realistic and steady Social Media Calendar. Identify recurring operational problems and recommend solutions. Build trust with the Front Desk Team while maintaining accountability.
