Job Description

TITLE:
Director of Operations Agency:
Spooner House is operated by Area Congregations Together, Inc., a nonprofit organization, with the mission of providing food, shelter, and support services to people in need. Programs include a shelter for individuals and families experiencing homelessness, and a food pantry for households facing food insecurity. Director of Operations Summary of job duties: Reporting to the Executive Director and serving as a key member of the Senior Management Team, the Director of Operations will be responsible for overseeing the day-to-day operations of the shelter and food bank programs, including bookkeeping, human resources, and facilities maintenance. Will represent the agency with community partners and assist with events. Maintains the highest ethical and professional standards. The ideal candidate is well-organized, detail-oriented, and a good communicator with excellent problem-solving skills.
Director of Operations Required Qualifications:
Education:
Bachelor's degree in business, human services or related field. Relevant experience may be substituted.
Experience:
Minimum 5-8 years of experience, preferably in a nonprofit social service environment.
Skills:
  • Proficient in QuickBooks and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Well-organized and detail-oriented.
  • Strong verbal and written communication skills and ability to establish rapport.
  • Ability to motivate others towards achieving goals. High level of discretion and confidentiality.
  • Must be open and non-judgmental, culturally sensitive and able to work well with diverse populations.
  • Self-starter who is able to manage multiple tasks with competing deadlines and prioritize effectively.
  • Able to lift moderate loads (up to 40 lbs) in order to assist with donations and to stock supplies and food as needed.
Occasional evenings and weekends required.
Director of Operations Key Responsibilities:
  • Actively participate in all staffing matters including hiring, training, performance reviews, disciplinary actions, scheduling, etc.
  • Prepare and submit biweekly payroll, ensuring accurate recording of payrates, hours worked, PTO, deductions, etc.
  • Responsible for maintaining accurate general ledger, including accounts payable, accounts receivable, gift entry, etc., and ensure timely payment of invoices, submission of payment requests, and financial reporting for both internal and external stakeholders. Work closely with the outside accountant and auditors to ensure accurate financials.
  • Monitor all vendor contracts for compliance, expiration dates, etc.
  • Establish and maintain excellent relationships with partner agencies and community resources and participate in community events and activities as appropriate and directed by the Executive Director.
  • Manage food bank, including inventory, staffing/volunteer management, data collection. Maintain monthly food bank statistics and generate monthly reports and client impact stories.
  • Ensure maintenance, cleanliness and security of facility and equipment.
  • Read logbook daily and respond to issues raised as needed.
  • Assist with events and mailings.
  • Attend Board meetings and Committee meetings as required.
  • As a member of the Senior Management Team, participate in Case Review meetings, establish and ensure compliance with operating policies and procedures.
  • Perform other tasks as assigned.

Pay:
$55,000.00 - $63,000.00 per year
