Located at APEX Biologix headquarters in Clearwater, Florida, our state-of-the-art education center hosts physician workshops, Clinical Intensives, Implementation Weekends, webinars, and flagship RISE programs that combine expert faculty, procedural training, and practice implementation. As we continue to expand our national educational programs, we're looking for a highly organized, service-oriented operational leader who thrives behind the scenes and enjoys creating exceptional experiences for physicians and faculty. The Director of Program Operations is responsible for the operational execution of all educational programs hosted through the XCELL Learning Center. Reporting directly to the Senior Vice President of Medical Education, this individual serves as the operational co-lead for educational events, partnering closely with the assigned Medical Education Manager to ensure every physician experience is delivered with professionalism, precision, and attention to detail. This role is ideal for someone who enjoys coordinating complex events, leading cross-functional logistics, solving problems in real time, and creating a seamless experience from registration through event completion.
What You'll Do:
Educational Program Operations Coordinate operational planning and execution for physician education programs. Manage attendee registration logistics, event check-in, waitlists, substitutions, and onsite registration. Prepare registration materials, name badges, agendas, signage, and participant packets. Coordinate catering, room setup, audiovisual requirements, and facility readiness. Develop detailed operational timelines and run-of-show documents. Ensure every event begins on time and runs smoothly. Troubleshoot operational challenges in real time. Facility Operations Coordinate room assignments and event layouts. Develop floor plans in collaboration with Medical Education Managers. Maintain an organized, professional, and welcoming learning environment. Coordinate event setup, room transitions, signage, and attendee flow. Assist with scheduling and utilization of XCELL Learning Center spaces. Project Coordination Execute operational timelines established by leadership. Coordinate deliverables across Medical Education, Marketing, Sales, and Facilities. Track project milestones and ensure assigned operational tasks are completed on schedule. Participate in post-event debriefs and recommend improvements to future events. Physician Experience Help create an exceptional educational experience for every attendee. Serve as a welcoming point of contact for physicians and faculty during events. Maintain high standards of hospitality, organization, and professionalism. Support the Medical Education Manager in delivering a world-class educational environment. What We're Looking For…Required Qualifications Bachelor's degree or equivalent professional experience. 5+ years of experience in event operations, conference management, hospitality, training programs, healthcare operations, or a related field. Exceptional organizational and project management skills. Ability to manage multiple priorities in a fast-paced environment. Outstanding communication and interpersonal skills. Strong attention to detail. Proficiency with Microsoft Office. Ability to work weekends as required for educational events. Ability to lift and move event materials as needed. Preferred Qualifications Experience supporting physician education, healthcare meetings, or medical conferences. Experience in hospitality, conference operations, or training center management. Experience coordinating large, detail-oriented events with multiple stakeholders. Familiarity with event registration platforms or CRM systems is a plus. Why Join XCELL Learning Center? Full-time with regular weekend educational events. Flexible scheduling and weekday time off provided when weekend coverage is required.
