This is a hands-on leadership role that blends office management, firm administration, process improvement, client intake, and marketing coordination. This person will work closely with attorneys and staff to understand how work moves through the firm, identify inefficiencies, and implement systems and processes that make the practice more organized, efficient, and scalable. The ideal candidate is a strong operator who enjoys solving problems, improving how people work, and creating accountability across a busy professional environment. Responsibilities Firm Operations & Staff Management
  • Oversee day-to-day firm operations and ensure the office runs smoothly, professionally, and efficiently
  • Manage and support administrative, intake, and client-service staff, including scheduling, coverage, onboarding, training, and performance
  • Establish clear roles, responsibilities, workflows, and accountability across the administrative team
  • Manage office technology, practice-management systems, vendors, facilities, and other operational resources
  • Identify operational issues and take ownership of implementing practical solutions
  • Help leadership build the structure and processes needed to support continued growth Attorney Workflow, Systems & Process Improvement
  • Work directly with attorneys to understand their workflows, administrative needs, and areas where processes can be improved
  • Evaluate how matters move through the firm from initial intake through engagement, active matter management, and completion
  • Develop and document standardized processes, workflows, and procedures across the firm
  • Identify bottlenecks, duplicate work, manual processes, and other inefficiencies that impact attorneys and staff
  • Improve the use of the firm's practice-management and technology systems to streamline workflows and reduce unnecessary administrative work
  • Help attorneys better utilize staff, technology, templates, automation, and standardized processes
  • Create and maintain SOPs for recurring firm processes and ensure they are consistently followed
  • Coordinate implementation of new systems, tools, and processes, including training attorneys and staff on their use
  • Regularly review existing processes and recommend improvements as the firm grows and changes Client Intake & Experience
  • Oversee the client intake process from initial inquiry through consultation and engagement
  • Manage intake staff and establish consistent standards for lead response, follow-up, scheduling, and communication
  • Monitor prospective clients throughout the intake pipeline and ensure opportunities do not fall through the cracks
  • Track lead volume, consultations, engagement rates, conversion rates, and referral sources
  • Improve handoffs between intake staff, attorneys, and active client matters
  • Continuously evaluate and improve the client experience from first contact through ongoing representation Marketing & Client Development
  • Serve as the firm's internal point person for marketing and client-development initiatives
  • Manage relationships with digital marketing, website, SEO, paid advertising, social media, and other outside marketing partners
  • Coordinate campaigns and ensure outside partners are executing against the firm's priorities
  • Track where leads are coming from and evaluate lead quality and conversion across different marketing channels
  • Monitor marketing activity, lead generation, consultations, retained clients, and overall effectiveness
  • Ensure website inquiries, phone calls, digital leads, and referral opportunities are captured and properly followed up on
  • Coordinate website updates, content, email campaigns, events, referral initiatives, and other business-development activities
  • Work with attorneys to identify opportunities to strengthen referral relationships and generate additional business
  • Provide leadership with clear reporting on the client pipeline and effectiveness of marketing efforts Qualifications
  • 5+ years of law firm operations, office management, practice management, or similar professional services experience
  • Prior law firm experience strongly preferred
  • Experience managing and developing administrative or client-service staff
  • Strong process-improvement mindset with experience creating workflows, procedures, and SOPs
  • Comfortable working directly with attorneys to improve systems and day-to-day efficiency
  • Experience implementing or improving practice-management, CRM, workflow, or other business systems
  • Experience with client intake, account management, business development, or marketing coordination preferred
  • Comfortable managing digital marketing agencies and other outside vendors
  • Strong understanding of lead management, follow-up, conversion, and client experience
  • Strong organizational, communication, and problem-solving skills
  • Ability to manage multiple priorities while remaining hands-on with the day-to-day needs of the firm
  • High level of professionalism, discretion, accountability, and attention to detail
Pay:
$60,000.00 - $75,000.00 per year
