Job Description

Job Overview We are seeking an experienced Business Operations Manager to oversee the day-to-day financial, administrative, and operational functions of the company. This position serves as the primary point of coordination between ownership, project management, vendors, subcontractors, clients, financial institutions, title companies, municipalities, consultants, and other business partners to ensure the business operates efficiently. The ideal candidate will have experience in the construction or design industry and be capable of independently managing accounting, construction administration, contracts, payroll, compliance, office operations, and business processes while supporting ownership with strategic initiatives and special projects. Responsibilities Manage accounts payable, accounts receivable, payroll, banking, reconciliations, and financial reporting. Monitor cash flow, budgets, job costs, and financial administration. Coordinate construction draws, contractor statements, lien waivers, and lender/title company documentation. Administer contracts, change orders, document management, and compliance tracking. Coordinate vendor and subcontractor onboarding, licensing, insurance certificates, and compliance documentation. Manage human resources administration, employee records, onboarding, and payroll support. Maintain business licenses, insurance policies, and regulatory compliance. Perform notary services for construction, lending, and corporate documents as needed. Oversee office operations, purchasing, technology coordination, records management, and general administrative functions. Coordinate with municipalities, consultants, and outside agencies to support ongoing company projects and initiatives. Develop and improve administrative processes, reporting, and operational procedures. Provide operational and financial support to ownership and project management. Maintain company records and business documentation. Utilize Buildertrend, monday.com, Slack, QuickBooks, Microsoft Office, and Google Workspace to support daily business operations. Qualifications 5+ years of experience in business operations, office management, accounting, or construction administration. Construction industry experience strongly preferred. Strong knowledge of accounting, payroll, banking, and financial administration. Experience with construction contracts, draws, lien waivers, and compliance documentation. Proficiency with QuickBooks, Buildertrend, monday.com, Slack, Microsoft Office, and Google Workspace. Excellent organizational, communication, and project coordination skills. Ability to manage multiple priorities while maintaining a high level of accuracy. Strong analytical, problem-solving, and process improvement abilities. High level of professionalism and discretion when handling confidential information. Notary Public certification preferred or willingness to obtain certification upon hire. Pay:
$75,000.00 - $95,000.00 per year
