Job Description

Position Overview We are seeking a highly organized and detail-oriented Operations Coordinator to support daily operations. This role focuses on generating vendor invoices for completed work orders, verifying parts and services, coordinating with vendors, processing incoming payments, and helping oversee workflow to ensure timely and accurate completion of work.
Key Responsibilites:
Generate and send invoices to vendors for completed work orders using QuickBooks Review and verify parts, services, and documentation for accuracy prior to invoicing Communicate with vendors regarding orders, pricing, discrepancies, and timelines Record and process incoming vendor payments in QuickBooks Maintain accurate financial and operational records within QuickBooks and internal systems Monitor workflow to ensure work orders are completed, billed, and closed out efficiently Coordinate with internal teams to resolve issues related to orders or billing Assist in improving operational processes and workflow efficiency Qualifications 2+ years of experience in invoicing, operations, administrative support, or similar role Hands-on experience with QuickBooks (required or strongly preferred) Strong attention to detail and organizational skills Excellent communication and follow-up skills Ability to manage multiple priorities and meet deadlines Proficiency in Microsoft Office (especially Excel and Outlook) Preferred Skills Experience working with vendors and purchase orders Basic understanding of accounting principles (AR/AP) Strong problem-solving skills and ability to identify discrepancies Apply today to join a fast-paced team where your work directly impacts daily operations and overall efficiency.
Pay:
$16.00 - $18.00 per hour
