This position is responsible for managing guest inquiries, coordinating appointments, and facilitating communication between guests and healthcare providers. The ultimate goal is to enhance guest satisfaction and streamline operational processes, contributing to the overall efficiency of the team. By fostering a welcoming environment, the Guest Coordinator helps to build trust and rapport with patients, ensuring they feel valued and cared for. This role is essential in supporting the mission of our organization to provide high-quality health care services to our communities.
The main job tasks include:
Greet and assist guest upon arrival, ensuring a warm and welcoming atmosphere Manage scheduled and walk-in patient interactions to ensure a seamless and positive guest experience Respond to guest inquiries via phone, email, and in-person, providing accurate information and support Maintain accurate records of guest interactions and feedback to improve service delivery Collaborate with various departments to ensure a cohesive approach to guest care and satisfaction Schedule The hours of this position includes a mixture of day and evening shifts. This position will work every other weekend as well as 4 holidays per year. Day shift hours range is 7:00am-4:00pm and evening shift range is 1:30pm-10:00pm. Travel to other Urgency Room locations is required for trainings, meetings, and operational needs. Minimum Qualifications High school diploma or equivalent Proven experience in a customer service role, preferably in a healthcare setting Strong communication and interpersonal skills Proficiency in basic computer skills and office equipment Guest Coordinators who excel in our role have executive functioning and operational coordination skills, including managing complex schedules and workflows, handling confidential information, supporting leadership operations, coordinating cross-functional communication, maintaining documentation, and facilitating efficient administrative processes. We greatly appreciate applicants who have experience working within a healthcare setting including familiarity with patient-centered workflows, healthcare technology platforms (e.g., EMRs, scheduling systems), or healthcare regulatory and privacy standards.
