Director of HVAC Operations

Job Description

Position Summary LTD Heating & Air is seeking a highly organized, results-driven Director of Operations to oversee and optimize all operational functions for our Air Conditioning Division. This individual will be responsible for ensuring sold work is efficiently converted into completed installations by managing scheduling, purchasing, permitting, quality control, and fleet operations under one unified system. The Director of Operations will lead multiple departments while supporting approximately 20-30 installation crews operating simultaneously. Success in this role is measured by operational efficiency, customer satisfaction, job profitability, and the ability to eliminate delays caused by scheduling conflicts, material shortages, permitting issues, or equipment failures. Primary Responsibilities Scheduling & Dispatch Oversee daily production scheduling and dispatch operations. Coordinate job sequencing and crew assignments based on workload, skill level, and geographic efficiency. Forecast labor needs 2-4 weeks in advance. Reallocate personnel between crews and markets to maximize productivity. Ensure each project is properly staffed with qualified team members. Purchasing & Materials Management Oversee purchasing operations and the Materials Manager. Ensure all equipment and materials are ordered accurately and delivered to the correct jobsite on schedule. Maintain strong vendor relationships while negotiating pricing and improving service levels. Manage inventory, material staging, returns, and shrinkage. Minimize production downtime caused by missing or incorrect materials. Permitting & Compliance Ensure all permits are submitted, approved, and obtained prior to project mobilization. Coordinate inspections with local jurisdictions. Maintain positive working relationships with permitting offices and inspectors. Ensure projects remain compliant with all local, state, and company requirements. Quality Control Oversee company-wide quality assurance processes. Ensure inspections are completed before customer handoff. Monitor punch lists and corrective work. Analyze rework trends and implement corrective action plans. Ensure jobs are completed accurately, professionally, and on schedule. Fleet & Equipment Management Oversee all company vehicles, trailers, and equipment. Maintain accurate asset tracking and accountability. Coordinate preventative maintenance schedules. Ensure crews have safe, reliable, and properly equipped vehicles. Reduce equipment downtime through proactive maintenance planning. Leadership Responsibilities Lead and develop managers responsible for Scheduling, Purchasing, Fleet, Permitting, and Quality Control. Establish operational procedures that create consistency across all locations. Monitor department performance through key operational metrics. Hold team members accountable to company expectations and performance standards. Collaborate with executive leadership to improve efficiency, profitability, and customer experience. Key Performance Indicators (KPIs) Performance bonuses will be based on achieving established operational KPIs, including but not limited to: Schedule adherence On-time project completion Material accuracy and delivery performance Permit turnaround time Inspection pass rate Quality control completion rate Reduction in customer callbacks and rework Fleet utilization and maintenance compliance Crew productivity Gross profit protection Customer satisfaction Qualifications Minimum of 5 years of operations management experience, preferably within HVAC, construction, or home services. Strong leadership and team development skills. Experience managing multiple departments and high-volume field operations. Excellent organizational, planning, and problem-solving abilities. Ability to manage competing priorities in a fast-paced environment. Proficiency with Microsoft Office and operational management software. Valid driver's license with an acceptable driving record. Preferred Qualifications HVAC industry experience strongly preferred. Experience managing purchasing, scheduling, fleet, and permitting operations. Knowledge of production planning and capacity forecasting. Familiarity with CRM, dispatch, and inventory management systems.
