Job Description

Prairie Scale Systems, Inc. seeks a highly organized, detail-driven Business Operations Manager to oversee and optimize daily business operations across our service, construction, and administrative teams. This role is crucial to ensuring our internal systems, compliance, and employee processes run efficiently as we continue to grow. This position works closely with management and accounting to support administrative, HR, payroll preparation, and compliance functions across the organization. What You'll Own Operations & Office Management Oversee daily office operations and administrative workflows Coordinate internal communication and support across departments Maintain organized and efficient systems for documents, records, and processes Provide proactive administrative support to management to help keep operations running efficiently and effectively HR & Employee Administration Coordinate onboarding and offboarding processes, including new hire paperwork and orientation meetings Serve as the first point of contact for employees regarding general benefits and HR-related questions Assist with administration of employee benefits (health, HSA, 401k, COBRA), in coordination with accounting Maintain organized employee records and documentation Support recruiting efforts, including job postings and interview coordination Partner with accounting to ensure accurate and timely processing of employee information Payroll & Compliance Coordination Review and verify employee timesheets for accuracy and completeness Ensure timely submission of approved timesheets to accounting for payroll processing Assist in tracking employee time by job, location, or project as needed Support compliance tracking for IFTA, DOT, licensing, and insurance requirements Safety & Policy Management Maintain safety programs and documentation Support WSI safety programs and ergonomic initiatives Ensure adherence to company policies and procedures Process Improvement & Systems Identify inefficiencies in office and administrative workflows and recommend improvements to management Assist in implementing process and system improvements in coordination with leadership Help ensure consistency and accuracy in data, reporting, and internal processes Act as a key support resource in improving operational efficiency Qualifications Required 5+ years' experience in office management, operations, or administrative leadership Strong understanding of administrative operations, HR support functions, and compliance processes Experience managing multiple priorities across departments Proven experience in managing confidential information Proficiency in Microsoft 365 (Excel, Word, Outlook) Preferred Experience with multi-state payroll or compliance (ND/MN a plus) Experience in construction, service, or field-based industries Familiarity with business systems or software used in service, construction, or operations environments is a plus Success In This Role Looks Like Payroll and employee processes run smoothly and accurately Office operations are organized, efficient, and proactive Compliance items (IFTA, WSI, DOT) are completed timely and accurately Employees and management receive timely, reliable administrative support Systems and processes continuously improve over time Benefits Eligible for benefits after 60 days of employment.
