$24.04-$26.44/hr Our client, a growing woman-owned manufacturing company, is seeking a highly organized and detail-oriented Operations & Administrative Coordinator to support the day-to-day operations of the business. This role is responsible for a wide range of administrative, logistics, purchasing, accounting, and office management functions while serving as a key support resource for leadership, sales, and operations. The ideal candidate thrives in a fast-paced, small business environment, enjoys wearing multiple hats, and is comfortable taking initiative with minimal supervision. As the company continues to grow, this position offers the opportunity to expand into additional operational, quoting, or sales support responsibilities. The Operations & Administrative Coordinator is responsible for: Operations & Logistics Coordinate domestic and occasional international shipments, including obtaining freight/LTL quotes, preparing shipping documentation, and scheduling carriers. Order raw materials, office supplies, and production materials. Receive and verify incoming shipments against purchase orders and packing lists. Match receiving documentation to vendor invoices and ensure accuracy. Maintain inventory records and update inventory usage based on actual production consumption. Ship customer samples and coordinate related logistics. Administrative & Office Management Maintain spreadsheets and reports using Microsoft Excel, including formulas and linked worksheets. Answer and direct incoming telephone calls in a professional manner. Greet visitors, customers, and vendors while serving as the primary office contact. Maintain organized filing systems (electronic and paper). Coordinate calendars, meetings, and occasional scheduling for company leadership. Keep office and breakroom supplies stocked by monitoring inventory and placing orders. Coordinate office events, employee celebrations, and holiday gatherings. Replace printer/copier toner and coordinate basic office equipment needs. Assist with miscellaneous errands, including occasional lunch pickups for company meetings. Accounting & Administrative Support Assist with Accounts Payable by matching purchase orders, packing slips, and vendor invoices. Support Accounts Receivable and basic customer billing activities. Perform data entry into QuickBooks or other accounting/business systems. Provide administrative support to sales, operations, and leadership as needed. Human Resources Support Prepare weekly payroll by accurately entering and verifying exempt and non-exempt employee time, reviewing for completeness and discrepancies, and submitting payroll to the owner for final review and approval. Assist with new hire paperwork and onboarding administration. Support general HR administrative tasks as assigned. What experience we are looking for: High School Diploma or GED required. Minimum of 5 years of administrative or office support experience. Previous experience in a manufacturing, production, distribution, or industrial environment strongly preferred. Advanced proficiency with Microsoft Excel, including formulas, linked worksheets, and data management. Proficiency with Microsoft Office and SharePoint. Experience with QuickBooks or another accounting/ERP system preferred. Strong organizational and time management skills with the ability to effectively prioritize multiple responsibilities. Excellent verbal and written communication skills with a professional phone presence. Exceptional attention to detail and accuracy in documentation and recordkeeping. Ability to work independently, solve problems proactively, and require minimal supervision. Comfortable working onsite in a collaborative, small business environment. Assignment:
