Chamber Operations & Membership Coordinator The Colonie Chamber of Commerce Latham, NY Job Details Part-time $22 - $26 an hour 22 hours ago Benefits Flexible schedule Qualifications Customer retention Executive administrative support Canva Front desk Newsletters (communication methods) Office management Full Job Description Chamber Operations & Membership Coordinator Part-Time, Hourly Range $22.00 - $26.00 per hour Position Summary The Chamber Operations & Membership Coordinator serves as the operational backbone of the organization, supporting membership growth, member engagement, event success, office administration, and financial processes. This position plays a key role in delivering a positive member experience while ensuring the day-to-day operations of the Chamber run smoothly and efficiently. Key Areas of Accountability Membership Growth & Engagement
  • Support membership recruitment, onboarding, retention, and engagement initiatives.
  • Serve as a primary point of contact for prospective and current members.
  • Maintain accurate membership records and database information.
  • Assist in delivering member communications and outreach efforts.
  • Support membership sales activities and follow-up processes.
  • Ensure members receive maximum value from Chamber participation. Events & Programs
  • Support the successful execution of networking events, educational programs, ribbon cuttings, signature events, and committee meetings.
  • Coordinate registration management and attendee communications.
  • Prepare event materials, reports, badges, and registration documentation.
  • Assist with sponsorship fulfillment and event logistics.
  • Ensure a positive experience for attendees, sponsors, and volunteers. Chamber Operations & Administration
  • Manage front-office operations and member inquiries.
  • Maintain records, filing systems, and administrative procedures.
  • Process Certificates of Origin and other member service requests.
  • Coordinate meeting materials and administrative support for leadership initiatives.
  • Assist in maintaining an organized and professional office environment. Financial Administration
  • Support membership dues processing and accounts receivable activities.
  • Coordinate event, sponsorship, and other Chamber-related invoicing.
  • Maintain accurate billing records and assist with financial reporting.
  • Support the President and Treasurer with operational reporting needs.
  • Marketing & Communications Support
  • Assist the Marketing Coordinator and Chamber leadership with communications initiatives as needed.
  • Support the promotion of Chamber programs, events, and member opportunities.
  • Assist with newsletter preparation, website updates, social media content scheduling, ribbon-cutting support, and basic Canva design projects.
  • Help maintain consistent member communications and organizational visibility. Qualifications
  • Strong customer service and relationship-building skills.
  • Experience in membership organizations, nonprofit administration, hospitality, events, or sales preferred.
  • Excellent organizational and time-management skills.
  • Comfortable working with databases, spreadsheets, and office software.
  • Ability to manage multiple priorities with minimal supervision.
  • Positive, professional, and member-focused approach.
