Leadership Position Salary:
$75,000-$90,000 annually + performance-based incentive About the Opportunity Vanished Aesthetics & Wellness is an established, growing medical aesthetics and wellness practice in Bloomington, Indiana. Our organization also includes TruBloom Ketamine Clinic, an expanding mental health treatment service. We are seeking an experienced Director of Operations to serve as the senior operational leader beneath the Founder/CEO. This is not a traditional office manager or practice manager position. We are looking for an experienced leader who knows how to build systems, manage managers, establish accountability, analyze business performance, improve profitability, and independently turn strategic ideas into executable plans. The ideal candidate has previously helped operate and scale a multimillion-dollar healthcare or service-based organization and does not require the Founder to create the roadmap for every initiative. This position is being created specifically to strengthen our leadership infrastructure as the organization enters its next phase of growth. The Role The Director of Operations will oversee the day-to-day business operations of the organization and translate the CEO's strategic vision into measurable execution. You will work closely with established functional leaders in areas including compliance and quality, patient relations/business development, clinical services, administration and marketing partners. You will be responsible for ensuring that each department has clearly defined goals, measurable KPIs, appropriate systems and meaningful accountability. Success in this position means the organization becomes increasingly capable of operating independently of the Founder for routine business and personnel decisions. Key ResponsibilitiesLeadership & Accountability Serve as the primary operational leader beneath the Founder/CEO. Lead, develop and hold managers and department leaders accountable. Establish clear reporting relationships, responsibilities and performance expectations. Conduct structured leadership and operational meetings. Develop department-level scorecards and KPIs. Address performance issues consistently and professionally. Ensure company policies and expectations are consistently enforced. Build a culture of accountability, professionalism and ownership. Reduce unnecessary escalation of routine operational decisions to the CEO. Business Operations & Systems Evaluate current workflows and identify operational inefficiencies. Develop scalable processes and operating systems. Ensure critical SOPs are documented, implemented and followed. Identify opportunities for automation and technology utilization. Oversee staffing models, scheduling efficiency, capacity and patient flow. Coordinate major operational projects from planning through implementation. Establish clear ownership, timelines and deliverables for company initiatives. Ensure operational infrastructure keeps pace with organizational growth. Financial & Business Performance Work closely with the CEO and accounting resources to understand and improve financial performance. Monitor and manage key indicators including: Revenue by department, provider and service line Operating profitability Labor expense and productivity Provider utilization Revenue per provider hour Treatment-room and equipment utilization Cost of goods Inventory controls Consultation conversion Patient retention and rebooking Marketing acquisition performance Service-line profitability Identify opportunities to improve efficiency, reduce unnecessary expenses and increase profitability without compromising patient experience or quality. People Operations Oversee operational aspects of recruiting and staffing. Develop structured employee onboarding systems. Establish meaningful performance-review processes. Coach managers on employee accountability and performance management. Monitor staffing needs against productivity and organizational growth. Address recurring personnel and workflow problems before they require CEO involvement. Help develop future leaders within the organization. Patient Experience & Growth Evaluate the patient journey from initial inquiry through long-term retention. Establish measurable standards for responsiveness, scheduling, consultation conversion, rebooking and retention. Partner with Patient Relations/Business Development leadership to improve patient acquisition and experience. Identify operational barriers affecting patient satisfaction or business growth. Develop systems for tracking and addressing recurring patient-experience concerns. Marketing & Growth Accountability The Director of Operations will not be expected to personally create social media content or manage advertising campaigns. Instead, this position will work with internal content resources and external marketing/growth partners to ensure marketing activities produce measurable business results.
Responsibilities include:
Establishing marketing performance reporting. Evaluating lead generation and acquisition costs. Tracking leads through scheduling, consultation and conversion. Monitoring marketing-attributed revenue and ROI. Holding external vendors accountable for agreed performance metrics. Ensuring marketing strategy aligns with organizational capacity and growth priorities. Compliance & Quality Partnership Vanished has established compliance leadership responsible for regulatory monitoring, credentialing, consent review, documentation audits, equipment documentation, staff compliance training and quality processes. The Director of Operations will partner with the Compliance & Quality Manager rather than duplicate those responsibilities. When compliance deficiencies are identified, the Director of Operations will be responsible for ensuring appropriate operational and personnel corrective actions occur. What We're Looking ForRequired Qualifications 7+ years of progressive operations, business management or healthcare leadership experience preferred Demonstrated experience leading managers or department leaders Experience operating within a multimillion-dollar business, practice or division Strong financial and business acumen Experience developing and monitoring KPIs Demonstrated ability to build systems and processes Experience with employee performance management and accountability Strong project-management skills Excellent written and verbal communication Ability to independently identify problems and develop solutions Comfort working directly with an entrepreneurial Founder/CEO Preferred Experience Experience within one or more of the following is highly desirable: Medical aesthetics Dermatology Plastic surgery Dental/DSO organizations Private medical practices Behavioral or mental health Wellness or elective healthcare Multi-location healthcare organizations High-touch hospitality or service organizations Medical aesthetics experience is not required if the candidate demonstrates sophisticated operational leadership in another relevant industry. Compensation Base Salary:
$75,000-$90,000 , depending upon experience. Additional performance-based compensation will be available based upon measurable organizational objectives.

What Success Looks Like After 12 Months The successful Director of Operations will have helped create an organization in which: Managers understand exactly what they own. Employees experience consistent expectations and accountability. Routine personnel and operational issues no longer require Founder intervention. Leadership meetings are driven by meaningful data and KPIs. Business performance can be evaluated through concise dashboards. Major projects have owners, timelines and measurable outcomes. Operational and financial problems are identified proactively. Marketing performance can be connected to patient acquisition and revenue. Compliance findings reliably result in operational correction. Core systems and SOPs are documented and consistently followed. The organization is less dependent upon the Founder for day-to-day operations. Most importantly, the Director of Operations will help build an organization capable of continuing to grow while allowing the Founder to increasingly focus on clinical leadership, strategy, innovation and long-term business development.

$75,000.00 - $90,000.00 per year
