Our team is seeking a Property Operations Coordinator who is organized, detail-oriented, and takes pride in doing things the right way. Position Overview This role serves as the central hub of daily field operations, ensuring seamless coordination between housekeeping, maintenance, inspections, and internal teams. You'll oversee the day-to-day execution of operational workflows, including scheduling, work order management, vendor coordination, and inventory control. More importantly, you'll anticipate needs, solve problems in real time, and ensure every home meets the Coastal Home & Villa standard. This is not a passive, behind-the-scenes role. It requires strong organizational skills, sound judgment, and the ability to stay composed in a fast-moving environment. Key Responsibilities The Operations Manager acts as the central hub of daily operations ensuring: The team understands and executes daily assignments Arrivals and departures are properly scheduled and updated Housekeeping and inspectors are fully prepared Inventory, loaners, and laundry are properly managed Work orders are tracked, updated, prioritized, and assigned Vendor communication and coordination are consistent and effective Company service standards are upheld across all homes Real-time operational challenges are addressed quickly and effectively Core Responsibilities Work Order & Dispatch Management Manage, input, assign, prioritize, and oversee all internal and external work orders from initiation through completion Maintain and manage internal workflow tracking systems Housekeeping Oversight Manage scheduling reports and ensure timely updates, including last-minute changes Coordinate with housekeeping to ensure readiness, departures, and quality control Maintain our CHV Standard of Care across all clean types Maintenance & Vendor Coordination Serve as the primary point of contact for vendors, housekeepers, and inspectors regarding scheduling, work orders, and invoices Manage and respond to incoming operational communication from guests and homeowners Inventory Management Oversee organization and control of inventory rooms and storage areas Maintain accurate inventory levels, including ordering and restocking Conduct routine inventory counts and ensure proper tracking Manage laundry, loaner items, lost & found, and supply distribution Prepare and pull items for deliveries, including inventory, loaners, and guest-related items Inspections Assist with hiring, scheduling, and managing seasonal inspector teams Ensure preparation, organization, and accuracy of inspection schedules Track completion and follow-ups Administrative Duties Audit and manage cash drawer Review owner invoices and statements for operational accuracy Assist with company-wide initiatives (guest app, software implementations, property onboarding) Cross-Training & Department Support Provide cross-functional support as backup to the Guest Experience team when needed Assist with reservations, rental agreements, deposits, and guest communication Support front desk operations, including walk-ins, voicemails, and main inbox management Assist with guest arrivals, packets, and reservation adjustments What We're Looking For Strong organizational and time-management skills Clear and confident communication Ability to multitask and prioritize in a fast-paced environment Proactive problem-solver who takes ownership and follows through Leadership mindset with attention to detail and accountability Preferred Experience 2+ years in operations, hospitality, or property management preferred Experience managing vendors, teams, or field operations is a plus Familiarity with property management or reservation systems is beneficial Schedule Full-time, must be able to work weekends Hours may vary based on seasonal demand Participation in our after-hours on-call rotation is required Compensation & Benefits Competitive salary based on experience and qualifications Comprehensive benefits package supporting health, well-being, and work-life balance How to
