Executive Assistant & Hospitality Operations Manager

Job Description

Fiori Concepts, LLC & JC Hospitality Group, LLC Knoxville, Tennessee Full-Time Fiori Concepts, LLC and JC Hospitality Group, LLC are seeking an exceptional Executive Assistant & Hospitality Operations Manager to work directly alongside ownership and serve as their trusted right hand across multiple hospitality businesses. This is not a traditional administrative assistant or desk-only position. We are looking for someone who can become an extension of ownership—someone who keeps us organized, helps manage our businesses and employees, handles sensitive information with complete discretion, follows through without being reminded, and can step into hospitality operations when needed. This is a unique hybrid position combining executive and personal assistance, human resources, business administration, hospitality operations, vendor relations, marketing coordination, event support, and occasional restaurant management. No two days will necessarily look the same.
WHAT YOU'LL DO
Executive & Personal Support Serve as the primary executive assistant and right-hand to both owners Manage business and personal calendars, appointments, meetings, and schedules Assist with phone calls, emails, text messages, correspondence, and follow-ups Organize priorities, deadlines, meetings, appointments, and commitments Coordinate travel, reservations, meetings, and other arrangements Assist with business and personal errands or responsibilities as needed Help ensure important communications, deadlines, and commitments never fall through the cracks Maintain strict confidentiality regarding ownership's personal and business affairs Human Resources & Employee Administration Maintain employee profiles, personnel records, and documentation Assist with recruiting, interviewing, hiring, onboarding, and offboarding Coordinate employee requests, paperwork, availability, and administrative needs Schedule, prepare for, and document employee performance reviews Assist ownership and management with employee communications Maintain company policies, forms, acknowledgments, and HR documentation Help organize employee performance, attendance, disciplinary, and recognition records Serve as an administrative resource for employees when appropriate Maintain strict confidentiality regarding all employee and HR matters Business & Operations Provide administrative and operational support across Fiori Concepts and JC Hospitality Group Communicate with vendors, contractors, service providers, and business partners Assist with invoices, ordering, contracts, paperwork, company records, and renewals Track projects, deadlines, and follow-ups Coordinate between ownership, management, employees, vendors, and outside partners Assist ownership with new concepts, openings, projects, and future business ventures Identify issues, help develop solutions, and make sure they are followed through to completion Marketing & Events Work with ownership and our marketing partners on promotions, campaigns, events, and company initiatives Help coordinate private event inquiries and client communications Assist with menus, guest counts, timelines, payments, contracts, and event details Maintain event calendars and deadlines Assist with special events, promotions, community partnerships, and business functions Represent ownership and our companies professionally when communicating with clients and partners Hospitality Operations Although a significant portion of this position involves executive and administrative responsibilities, hospitality is a hands-on business. This person must be willing and able to: Assist with hosting and guest relations when needed Help execute private events Step into restaurant or lounge operations during staffing shortages or unusually busy periods Serve as Manager on Duty after appropriate training Help oversee operations when ownership is traveling, on vacation, or otherwise unavailable Troubleshoot guest, employee, vendor, and operational issues Act as a trusted representative of ownership when necessary This does not mean you will regularly be scheduled as a host or restaurant manager. However, we expect our leadership team to be willing to step in when the business needs them.
TRAVEL, TECHNOLOGY & PHYSICAL REQUIREMENTS
Candidates must: Be willing and available to travel with or on behalf of ownership as business needs arise Be available for occasional overnight and out-of-town travel Possess a valid driver's license and reliable transportation Maintain an acceptable driving record when driving is required for company business Maintain reliable internet access and a working cell phone Be proficient with email, calendars, texting, word processing, spreadsheets, online platforms, and standard office equipment Be comfortable learning restaurant, scheduling, HR, event, and other business software Have flexibility to occasionally work evenings, weekends, holidays, or outside traditional office hours when business needs require it Be comfortable working in both office and active hospitality environments Be able to lift, carry, or move up to 50 pounds when necessary for restaurant, event, or operational needs, with reasonable accommodation where applicable

CONFIDENTIALITY & TRUST
This position will have access to information most employees within our companies will never encounter. This may include employee and HR records, business operations, financial information, vendor information, contracts, company systems, future business plans, ownership schedules, communications, and certain personal information belonging to ownership. The successful candidate will be required to execute applicable confidentiality, non-disclosure, and other employment-related agreements before being granted access to sensitive information. Confidentiality and discretion are essential conditions of this position.
